JOB DESCRIPTION

Job Title: Accounts Payable Manager

Department: Accounting Location: Store Support Center

JOB SUMMARY AND PURPOSE

The Accounts Payable Manager will be responsible for leading the organization’s accounts payable function. Directs and oversees the management of the accounts payable staff and processes associated with the payment of invoices, processing of purchase orders, receiving of goods and communication with external vendors and internal stake holders.

WORKING RELATIONSHIPS

Reports to the Assistant Controller.

DUTIES AND RESPONSIBILITIES

  • Oversee daily operations and supervision of the AP Department.
  • Ensure that W-9's are received prior to setting up vendors in the ERP system.
  • Review accounts payable aging weekly and identify vendors to be paid that week.
  • Once vendor payments are approved, supervise the preparation of checks and various electronic payments.
  • Ensure that all payments to suppliers/vendors are made timely and accurately.
  • Respond to vendor inquires related to accounts payable.
  • Investigate and resolve problems associated with processing invoices.
  • Interact with external auditors to provide original documentation and explain controls and procedures.
  • Monitor team performance using KPI’s.
  • Continuous oversight and execution of key controls including fraud prevention in a Sarbanes-Oxley level environment.
  • Hire, train, motivate, and evaluate accounts payable staff members.
  • Compile, analyze, and report financial information.
  • Develop, implement, and improve policies and department controls to increase accuracy and efficiency.
  • Responsible for the monthly closing of Accounts Payable accounts.
  • Ensures accurate annual distribution of 1099's per IRS filing guidelines and deadlines.
  • Manage cash-flow while paying vendors in accordance with executed contracts ensuring discounts are taken when available.
  • Provide monthly accruals and information regarding purchases for month end analysis.
  • Assist Controller with developing cash forecasting process.
  • Reconciliation of accounts payable and other general ledger account balances.
  • Prepares & maintains policies and procedures to ensure effective internal controls to safeguard assets and the timely and accurate reporting of AP activities.
  • Acts as AP system super user by thoroughly understanding the AP systems and processes and by leading system upgrades and implementations.
  • Develops & implements continuous improvements to the accounts payable system and procedures.
  • Participate in the evaluation and implementation of OCR and RPA systems.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in Accounting or Finance required.
  • Six (6) years of experience in accounts payable department with supervisory experience.
  • Directly related accounts payable experience in the retail industry is preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced skills in Microsoft Excel, and proficiency in other Microsoft Office products.
  • Ability to work in a fast-paced environment.
  • Excellent analytical, organizational, and project management skills.
  • Ability to work independently and manage time effectively to meet goals and deadlines.
  • Attention to detail and problem-solving ability.
  • Ability to foster a team-oriented environment as a leader.
  • Demonstrated interpersonal and written communication skills,
  • Ability to provide relevant and timely information to staff, clients, managers, etc.

SUPERVISION

This position oversees the Accounts Payable (AP) Team, which includes supervision of AP Clerk, AP Analyst, Sr. AP Analyst, and AP Lead positions.

PERFORMANCE MEASURES

  • Timely and accurate invoice processing
  • Achievement of deadlines and project deliverables
  • Thorough understanding of the supply chain (Product movement life cycle)
  • Ability to motivate through strong leadership skills.
