Job Summary
Performs clerical and administrative functions to clinical unit.

Supports the Quality Manager and Quality Assurance team at RMPDS.


Responsibilities

1. Assist the Quality Manager with activities for various projects.

2. Assist the Quality Manager by sending reports, agendas, and helping with clients visits.

3. Respond to requests from RMPDS departments for document IDs, document revision, and documents to be obsoleted.

4. Revise department and RMDPS documentation, as requested.

5. Prepare change control forms for review by internal customers and obtain applicable signatures.

6. Assign training to employees in the Cornerstone learning management system software.

7. Update RMPDS organizational charts as changes occur and prepare client organizational charts, as needed for audits.

8. Collaborate with departmental subject matter experts to prepare controlled documents that meet client requirements.

9. Prepare and gather documents for client audits and coordinate logistics with the applicable department.

10. Compose and type and/or transcribe correspondence, reports, memoranda and other materials as assigned.

11. Assist in the review and proofreading of documents.

12. Organize and maintain system documentation, such as standard operating procedures, work instructions, training records, and guidance documents.

13. Manage and maintain Quality Management System files, records, and logs.

14. Maintain files for resumes updated annually for all quality assurance staff.

15. Participate in daily QA huddles.

16. Arrange meetings, interviews and conferences; schedule appointments, reserve conference rooms as needed.

17. Attend meetings and take meeting minutes, as requested.

18. Attend audits and take minutes and assist in providing documents requested, as necessary.

19. Prepare and submit forms for purchasing office supplies for the QA department.

20. Deliver mail to QA Staff, as needed.

21. Help with additional tasks for the department, such as scheduling meetings, ordering, faxing, scanning, typing, etc.

22. Provide additional support for the department, as needed.

23. Perform other duties, as assigned.

1. Knowledge of data entry systems and computer skills.
2. Knowledge of medical terminology.

5. Demonstrates strong customer service skills.
6. Demonstrates ability to maintain adequate office supplies and clinic supplies inventory.
7. Demonstrates ability to multitask and problem-solve.

Education
• High School Diploma or GED (Required) Four years administrative or clerical experience required.
