Receptionist/Office Clerk

Status: Full-time

This position is responsible for directing phone calls appropriately, taking detailed messages in addition to daily organization and filing, sending invoices, and assisting the administration department.

Duties and Responsibilities:

  • Answering the telephone in a kind and professional manner
  • Directing calls to the appropriate person on a multi-line phone system
  • Organizing and filing order tickets, payment statements, and payables
  • Rotating filing cabinets and storing older papers in storage when needed
  • Assisting in entering cash sales and balancing paid tickets with credit card batches and bank deposits
  • Using Excel to input cash sales on a spreadsheet
  • Scanning tickets, purchase orders, tax exemption forms, and C.O.D. forms
  • Printing, stamping and mailing daily invoices
  • E-mailing daily invoices if required by the customer
  • Distributing daily incoming mail
  • Controlling office supply stock and ordering supplies when needed
  • Assisting in our yearly “State of the Arts Show” by taking RSVP’s, ordering supplies needed, and organizing and creating name badges
  • Other duties as assigned

Job Requirements:

  • High School Diploma/GED required
  • 3-5 years of experience as a receptionist or similar role required
  • 3-5 years of customer service experience required
  • Ability to prioritize and perform multiple tasks at once
  • Strong time management skill
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Detail oriented
  • Ability to collaborate with sales and other accounting team members to ensure balances are paid while maintaining Glenrock’s relationship with our customers
  • High proficiency in Microsoft Excel, Word, and Outlook
  • Strong attention to detail
  • High typing proficiency
  • Bilingual English/Spanish is a plus

This is a full-time position, Monday through Friday from 8:00am-4:00pm
