  • The hourly equivalent for this position is $17.28 - $28.13.

Location Highlights:

Multnomah County Circuit Court, located in Portland, Oregon. It is the Fourth Judicial District and is the largest in the State of Oregon. The court has over 320 staff, including 15 hearing referees and 38 judges working in four courtroom facilities in Multnomah County.

Position Highlights:

The Multnomah County Circuit Court is hiring a Judicial Services Specialist 2 (Civil Operations Clerk).

The Civil Operations unit maintains a current and accurate register of actions for all civil cases filed with the court and processes several hundred documents daily. Some processes and actions on civil cases require statutory, or legally required, deadlines. For this reason, the workload can be heavy at times.

You will spend much of your day handling electronic and hard copy documents received through electronic filing, from a customer service counter, and through mail service. You will enter receipt of these documents onto their appropriate cases using a computer and will scan hard copy documents to digitize them and place them in electronic workflows. You will also provide customer service at a customer counter to receive documents, provide direction and explain processes and procedures to the general public, interested parties, and attorneys both in person and via phone or email.

Minimum Qualifications

The qualified candidate must have at least one year of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

Possession of a high school diploma or GED, or equivalent life or work experience.

  • Experience using computers and multiple applications to enter and retrieve data and performing a variety of clerical or administrative support tasks in a dynamic business or professional setting.
  • Experience interacting with people for the purpose of gaining specific information, reviewing documents to ascertain specific information, and communicating decisions based upon the same information.
  • Experience providing customer service to people who are facing challenging life circumstances, highly stressful situations, trauma, or behavioral health issues.
  • Experience maintaining accuracy and meeting deadlines despite frequent interruption or distracting surroundings.
  • Ability to maintain tact and professionalism when handling or troubleshooting unexpected issues or events or complex questions, and to understand when to elevate an issue to a supervisor or manager.

Working Conditions

  • This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per work week.
  • Occasional after-hours or overtime work may be required.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances or highly stressful situations.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.

ADDITIONAL INFORMATION
Parking

Multnomah Circuit Court does not provide parking for courthouse or justice center staff. Flexible spending accounts are available to reimburse parking or transportation costs up to a certain amount each month, if staff elect to have these funds held from their monthly paycheck.

Criminal Background Check
You will be subject to a criminal background check if you are a finalist. Adverse results are evaluated on a case-by-case basis and may result in disqualification if the circumstances are directly related to the duties and responsibilities of the position.
