Title: Administrative Assistant

Reports To: This position reports to the General Manager.

Job Overview: The administrative assistant is a vital team member that ensures the administrative functions of the business are completed in a timely and professional manner. This role completes various tasks throughout the day that are necessary for the successful operation of the business. The right candidate will maintain a positive attitude, stay productive, and operate efficiently in completing all tasks. The administrative assistant will be supporting a variety of ever changing responsibilities related to the daily office functions based on the needs of the Intech Team. The administrative assistant should always work to create a superior customer experience through a positive attitude and consistent engagement and follow through. The dedicated efforts of the administrative assistant will result in a direct impact on the growth and success of the overall business.

Responsibilities and Duties:

· Answer phones - front line customer experience – positive demeanor is critical

· Assist with travel coordination for Intech (airfare, hotel, & conference registrations)

· Collect and distribute mail daily

· Assist team with outbound mail and processing

· Assist office manager in daily, weekly, and monthly tasks as needed

· New Accounts: Send out credit references verifications (GM or CFO make credit approvals)

· Assist Sales team in setting up new partners in our accounting system

· Communicate and distribute leads to the Sales team via our CRM system or email

· Assist with event planning including industry trade shows and company sponsored events

· A/R - Prepare weekly AR status update after calls and e-mails are completed

· Investigate and report the lien rights for each project that goes beyond payment terms

· Input checks and process credit card payments into the accounting software

· Coordination of rental equipment calendar updates with sales and operations team members

· Partner account maintenance to monitor accuracy and record updates to accounting system and CRM

· Assist with marketing activities to keep marketing activities organized

· General filing of invoices and bills

· Maintain inventory of office products and supplies

· Other general office tasks as need to support the business functions
