Our stores are in La Crosse, Norwalk, and Richland Center, Wisconsin and Eyota, Minnesota. This Warranty Administrator position is for all locations, but located at our La Crosse location.

Job Title: Warranty Administrator

Essential Job Functions

  • Processes warranty claims on a timely basis for each location.
  • Processes all warranty paperwork to ensure proper documentation
  • Verifies criteria required by manufacturer/supplier.
  • Resubmits all rejected claims promptly or receives authorization.
  • Follows up on payment of outstanding claims.
  • Tracks warranty parts and coordinates tagging with repair order number, date of replacement and shipping with Service Department staff.
  • Sort thru emails for claim processing.
  • Review work orders to verify all the necessary information is listed.
  • Discuss work orders with Service Manager, Service Writer and Techs when more info is needed.
  • Process ALL warranty claims for ALL stores.
  • Monitor ALL claims and claim results for each vendor.
  • Appeal claims or revisit claims when more info is needed.
  • Log claim info. Sort warranty work database.
  • Track ALL warranty part returns and email ALL stores with the parts list that are being requested.
  • Discuss warranty situations with Service Reps.
  • Register machine when need be.
  • Update warranty end customers in eWarranty.
  • Adjust and close warranty work orders.
  • Track and post ALL warranty credit memos.
  • Enter credit into the proper scan file for each store.
  • Keep track of all the warranty guidelines for each vendor.
  • Help track aging warranty work orders when time allows.

Duties and Responsibilities:

Contacts manufacturers to obtain authorization to perform repairs

Applies for payment after authorization and repairs are completed

Follows up on collecting warranty payments

Work closely with technicians to understand and relay needed repairs to manufacturers

Major Tasks Include:

Process Warranty Claims.

Verify the manufacturer’s or supplier's criteria.

Authorizes all warranty claims.

Completes the documents required to process the claims, forwards them to the manufacturer/supplier and follows up.

Ensures that the amounts claimed correspond to the criteria of the manufacturer/supplier and follows up.

Follows up on claims to obtain prompt payment.

Completes pre-authorization applications in contentious cases, forwards them to the manufacturer/supplier and follows up.

Identifies exceptional cases which may result in special agreements with the manufacturer/supplier, completes the required documents and follows up.

Analyzes claims denied by the manufacturer/supplier and, if applicable, re-submits them as soon as possible or obtains authorization to cancel them.

Analyzes and reviews credits.

Reviews claims exceeding the time frames prescribed by the manufacturer/supplier or which are not processed in the regular manner.

Provides the accounts receivable supervisor with the documents required to process the accounting paperwork, the amounts receivable, payment and credits for warranties.

Trains internal personnel in warranty provisions or changes.

Ensures that defective parts are returned to the manufacturer/supplier.

Keeps up-to-date on all the manufacturer’s recalls and bulletins.

Performs other tasks based on management requirements and instructions.

Qualifications

Education:

High school diploma or equivalent is required

Experience:

A minimum of one year’s service office experience

Abilities:

Demonstrated excellent oral and written communications skills, along with excellent interpersonal skills

Solid communication skills. Must be able to demonstrate effectiveness working with various levels of management, staff and/or manufacturer contacts

Ability to work flexible hours, as required is essential. Hours may include, evenings, and weekends

Ability to use a computer and other office equipment

Proficient with MS Office

Knowledge or ability to learn company systems applications, including CDK Intellidealer, and other applicable software

Ability to multitask in a fast paced environment

Reliable and strong work ethic

Commitment to superior customer service

Ability to work independently as well as on a team

Self-motivated and able to work under minimal supervision

Ability to organize various physical tasks through adjusting, climbing ladders, connecting, lifting, pulling, pushing, or bending

Ability to stand for long periods of time

Ability to reach above shoulders and lift a minimum of 50 pounds

Job Type: Full-time

Pay: $22.00 - $25.00 per hour
