Vehicle Management Officer

Description:

This position Inspects all vehicles entering the yard; stock, retail, warranty. Check for and record damages and obtains signature from drivers accepting vehicles. The VMO records the locations of vehicles in the lot, shuffling unit locations for accessibility to production needs. The VMO updates vehicle inventory status in System 2000 to represent current location. Reports to Service Manager. In charge of dispatching drivers for vehicle pick up and deliveries, as well as performing final inspection to assure vehicles are clean, detailed and ready to be delivered.

Duties:

  • Must greet all customers in a timely and friendly manner
  • Update System 2000 Unit inventory status and locations daily and in real time
  • Develop and daily maintain vehicle location log: Track vehicle by location and parking spot

Develop Shipping Row Develop Receiving Row Develop Short Hold Area Update Daily

  • Work with all aspects of the service department to determine daily production schedules, identify inventory status changes, ensure production units are accessible, and review completion status
  • Notify service writers daily of new vehicle deliveries
  • Develop and maintain daily a Production Area, allowing vehicles quick accessible to the service shop.
  • Perform final inspection of vehicle and obtain signature for release of vehicle
  • Confirm vehicle VIN number with BOL and make sure vehicle is being delivered to correct address and VIN matches BOL
  • Inspect all vehicles for damages including windshield and tires. Damages need to be documented on BOL and driver needs to acknowledge.
  • Communicate any damages or discrepancy to service writer, foreman and supervisor
  • Pull up vehicles when ready for shipping and make sure buses are cleaned and detailed
  • Responsible for all vehicle inventory including RV’s at all Chino locations once a month
  • Responsible of having all DEMO vehicles ready for DEMO
  • Create a next day forecast delivery schedule and send to service team at the end of each day
  • Responsible for tracking and maintain vehicle keys and dealer plates.
  • Responsible of making sure Release/Receipt Acknowledgement forms and Items Shipped Loose forms are filled out prior to any new delivery for customer to sign.
  • Work with all aspects of the Service Department to schedule local deliveries, which will be defined by management.
  • Schedules Uber for drivers
  • Vehicle Management:

Maintain Demo and Sales Vehicles, ensuring vehicles are clean and presentable to customers Ensure all batteries are disconnected when parked

Ensure all vehicles are ran every 30 days, per Ford QVM guidelines

Ensure fire extinguishers are installed throughout parking lot and maintained properly

  • Responsible for daily management of lot porters
  • Additional administrative duties
  • Other duties as assigned

Position Requirements:

  • High School Diploma or equivalent and two years general office experience
  • Excellent attention to detail and follow up skills
  • CDL preferred, or willing to obtain upon hire. Clean DMV record.
  • Willingness and ability to work as a team player
  • Strong verbal and written communication skills
  • Strong interpersonal skills
  • General knowledge of office practices and procedures
  • Self-starter, highly motivated and exhibits great initiative
  • Computer literate (Word, Excel)

Physical Requirements:

  • Must have the ability to push, pull or lift up to 50 lbs.
  • Must have the ability to board vehicles, and inspect under vehicles if necessary.
  • Must have the ability to perform all essential job functions in a consistent state of alertness and in a safe manner.
  • May be required to do frequent kneeling, stooping, squatting, crawling and climbing to perform multiple tasks of position.
