Position Summary: This position is responsible for maintaining accounts payable financial records, assisting with budget
grant reporting, monthly close processing and performing all facets of the accounts payable cycle, including invoice
processing, weekly check runs, and staff reimbursements. Assignments are routine in nature and are carried out in
accordance with general work instructions and established accounting practices, procedures, and precedents. This is a hybrid
position (3 days in the office and 2 days remote).


Duties and Responsibilities:
  • Review all invoices (including construction and Home Depot credit statement) for appropriate documentation and approval with department management teams
  • Code and process invoices into accounting system with accurate project and General Ledger coding and detail
  • Prepare and process, and file1099-NEC vendor forms
  • Oversee and manage Wells Fargo credit card portal website including reconciling, auditing and downloading activity from employee monthly credit card statements to ensure accurate recording, required receipt documentation and compliance with organizational policy
  • Provide training of the corporate credit card program including user set up
  • Perform the month-end closing routines, including bank reconciliations and depreciation calculations
  • Review and make adjusting entries as needed to ensure accurate monthly reporting
  • Maintain digital Accounts Payable vendor files
  • Process daily incoming cash receipts using digital check scanner to deposit funds into the bank
  • Handle invoice and payment inquiries from external vendors and internal staff
  • Contributes to the development and maintenance of annual departmental budget planning templates, including importing department budget detail into the accounting system
  • Preparation and distribution of Quarterly Project Variance reporting and analysis
  • Prepare, analyze, and report grant project budgets for external funding partners
  • Maintain timesheet website and users. Review and monitor employee timesheets to ensure all timesheets are submitted and complete prior to month-end closing
  • Provide timesheet training and timesheet reports
  • Research payroll issues and state withholding tax issues, as needed
  • Maintain, process and track state sales tax applications
  • Prepare and filing of annual Economic Census
  • Assist in general accounting department duties on an as-needed basis

  • Work closely with other team members in Finance department
Education and Experience Required:
  • Bachelor’s Degree in Accounting (or equivalent experience)
  • One (2)+ years of experience with general ledger and grants budget reporting preferably in non-profit environment
  • Working knowledge of GAAP
  • Proficiency with Serenic/Microsoft Dynamics NAV
  • Proficiency with Microsoft Office with focus on Excel: VLOOKUP and Pivot Tables
  • Knowledge of Salesforce CRM and Robotic process automation (RPA)
  • Strong numeracy and analytical problem solving skills
  • Excellent attention to detail
  • Work well in a team environment and tight deadlines
  • Experience in a non-profit environment desired
