The Senior Academic Advisor provides an integrated range of academic advisement for prospective, current, and former students within a specified undergraduate academic department or equivalent unit of a college. Assesses academic level, attends to student academic inquiries, assists in the resolution of individual academic problems, and advises on academic program changes. Advises and assists students in the development of academic plans and class schedules. Analyzes applications, transfer evaluations, and transcripts for entry and exit from the university.

  • Answers complex student inquiries and resolves problems related to curriculum and course prerequisites, referring to catalogues, written course descriptions, and other appropriate sources.
  • Provides integrated analysis and consultation to students on complex academic and associated issues.
  • Receives and reviews transcripts to ensure eligibility for admission to a specific college or program including evaluation of transfer credits and applicability of academic credit to program requirements.
  • Reviews student files to ensure deadlines are met for completing various graduation requirements such as coursework requirements, theses, comprehensive examinations, and other specific program requirements.
  • Assists students in the selection of appropriate courses and concentrations in terms of students' stated preferences.
  • Initiates and maintains individual student files as appropriate, updating and evaluating file as new information is received.
  • Reviews student grade reports each semester to determine probation and/or suspension based on academic regulations of university.
  • Notifies and places students on probation or suspension.
  • Returns students to regular status after sufficient progress is made.
  • Coordinates with other organizational units to process admission and graduation requests and to aid in resolution of academic problems.
  • Participates in continuing in-service training related to academic information and advisement procedures.
  • Assists in the development and implementation of advisement and recruitment programs and materials.
  • Assists faculty advisement, athletic coaches, and/or other counseling personnel by providing records, evaluations, interpretations, and other requested data, recommendations, and conclusions.
  • Performs supplemental administrative activities such as scheduling meetings and interviews, securing requested information, verifying and maintaining computerized data files, and preparing summary reports.

Advising

  • Advises undergraduate nursing, health science and public health students to ensure course selection meets graduation requirements through regular interactions and follow-ups.
  • Maintains all relevant student records.
  • Adheres to strict student confidentiality in accordance with FERPA.
  • Keeps abreast of graduate health professional program requirements (e.g., GPA, standardized tests, and prerequisite coursework) to provide health science students with most current information.
  • Reviews grades after every semester to ensure successful progress towards graduation and identify areas of concern (e.g., GPA and progression issues).
  • Coordinates and plans group advising sessions for freshmen and sophomore BSN students.
  • Reviews incoming freshmen and transfer student files and schedules, and updates and advises accordingly based on SAT/ACT scores, AP/IB scores, and dual enrollment credit.
  • Completes graduation checks at the end of each semester for students who applied for graduation.
  • Continually updates missing student course work as course evaluations are received from the admissions office.
  • Updates curriculum information as needed for information packets in order to provide the most accurate and up-to-date information.
  • Develops and maintains a monthly schedule of advising responsibilities, including communications to students.
  • Oversees development and maintenance Degree Progress Reports (DPRs).
  • Helps train new Academic Advisors.

Liaison

  • Liaises with Florida Memorial University and St. Thomas University regarding students in the 2+2 and 3+2 programs, providing them with updates to Traditional BSN program requirements and arranging visits to campus when appropriate.
  • Liaises with Pre-Health Office to ensure SONHS undergrads have current information on meetings, procedures etc.
  • Liaises with PT Department and coordinate application process for BSHS students to participate in UMH internship program.
  • Serves as support with the athletic department and evaluates and completes Academic Eligibility Certification forms for the Registrar’s office.
  • Liaises with Continuing Studies to help students navigate from their programs into the BSN-Accelerated Program.
  • Liaises with Toppel Career Center to coordinate SONHS’s participation in career events.
  • Serves as the OSS liaison at Commencement School Coordinator Meetings.

Admissions/Recruitment/Orientation

  • Reviews transfer and change of school files for prospective BSN, BSHS, and BSPH students and creates curriculum plans for use in advising.
  • Communicates with prospective students via e-mail and phone regarding program requirements, prerequisites, etc.
  • Under the direction of the Executive Director of Student Services, assists with the coordination of the fall, spring, and summer orientation for incoming students by organizing relevant materials, participating in orientation activities, and advising new students.
  • Attends university and hospital events for recruitment purposes as required.
  • Coordinates and conducts monthly information sessions by scheduling sessions, updating content, and maintaining accurate information on the SONHS website.
  • Participates in tri-annual Admissions Open Houses (Sundays) for the purpose of attracting potential students.
  • Performs other duties as assigned.

Staff Management

  • Supervises and directs the hiring, training, and evaluation of the student employees.
  • Plans and leads monthly student employee meetings.
  • Provides leadership and support to student employees in a cooperative environment to ensure the implementation of outstanding, comprehensive academic services to students as well as support services to faculty, administration, staff, and outside constituents.
  • Conducts yearly performance appraisals of the student employees.
  • Works with professional staff and student employees to brainstorm, develop, and/or plan new services, policies, and procedures.

Education : Bachelor’s Degree

Degree Preferred In: Education or related field

Experience : 2 Years of related experience

DEPARTMENT ADDENDU M

Background should include work in academic administration and/or training and education in student development. Knowledge of computerized degree audit systems helpful. Excellent verbal and written skills required. Position also requires strong interpersonal communication skills. Position requires many one-to-one meetings and telephone conversations with incoming and enrolled students.
