At the Boys & Girls Clubs of the Peninsula (BGCP), our business is changing lives. We are a vibrant, entrepreneurial nonprofit organization that is committed to partnering with schools and the community to ensure students from low-income neighborhoods graduate from high school, ready for college and career. We are the largest expanded learning time organization in the heart of Silicon Valley, serving 2,500 K-12 students at 17 sites in East Palo Alto, Menlo Park, and Redwood City. In neighborhoods where one third of the youth drop out of high school, BGCP members learn the importance of education and become part of a community of learners, wanting and expecting to succeed in school. In 3 clubhouses and 14 school sites, we implement proven social and academic interventions and provide engaging enrichments that most impact a youth’s achievement in school and in life.

Position Overview
The Site Operations Manager will work in collaboration with site leadership, program staff, and school site administration to ensure site operations and clerical administrative responsibilities are maintained and delivered with great efficiency and high quality. Spanish fluency is preferred.

What will you do?

  • Performs regular administrative duties, preparing correspondence and reports as requested by site leadership
  • Responsible for replenishing office and program supplies
  • Assists site leadership team with purchases, reimbursements, and credit card reconciliation
  • Translate activity flyers, program schedules, communication to parents, etc. from English to Spanish (if capable)
  • Manages student enrollment and Salesforce database and generates membership data for reports
  • Maintains accurate electronic and hard copy filing systems that provide easy retrieval of information
  • Oversee schedule management, including communications with the district and school as well as with parents, visitors, and volunteers about closures or other events that impact programming
  • Manage program facilities, coordinating logistics between school site and school partners
  • Ensure BGCP is adhering to school-wide behavior standards and discipline policies
  • Maintains strong relationships with students, parents, school staff, external vendors, and partners, as well as create a welcoming environment for visitors and volunteers
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
  • Participate in executing logistics for special events and fieldtrips as needed
  • Occasionally serve as receptionist, greeting student members, visitors, parents, and volunteers
  • Undertake other administrative tasks as assigned

What qualifications will the ideal candidate have?

  • Spanish fluency is preferred
  • Bachelor’s Degree or current college student with at least 48 units or ability to pass equivalency test
  • 2+ years of administrative or operations experience preferred
  • Friendly and enjoys working with diverse staff, youth, and parents
  • Highly organized, detail-oriented, flexible, and dependable
  • Proven ability to multi-task effectively, meet multiple competing deadlines and work well in a group and/or individually
  • Excellent knowledge of standard office practices
  • Proficient in Microsoft Suite (Word, Excel, and PowerPoint)
  • Experience in a setting working with youth ages 5 – 14

Compensation & Benefits

  • Hourly rate: Very competitive with other nonprofits and commensurate with experience
