SUMMARY: Performs a variety of secretarial duties to support high school administration and staff. Must be proficient in the use of computer applications including word processing, database, spreadsheet, desktop publishing, the District accounting system, and the student information management system.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Demonstrates sound judgement and emotional stability.
  • Maintains a positive attitude and works well with others.
  • Ensures the safety of students.
  • Interacts with staff, students and the community in a positive and respectful manner.
  • Opens the office at the beginning of each workday.
  • Prepares correspondence and other typing duties as directed by the principal or assistant principal(s).
  • Maintains files and records, maintains calendars, schedules events, communicates with parents and types various award letters and certificates.
  • Enters requisitions for supplies and routes deliveries to proper department.
  • Assists in preparing and distributing master class schedule.
  • Maintains staff listing.
  • Maintains staff absence records and collaborates with Human Resources Secretary on Absence Management when necessary.
  • Processes weekly time sheets.
  • Maintains the high school’s substitute teacher handbook. Greets substitute teachers and provides necessary information and assistance.
  • Answers phones, answers questions and provides information, takes messages and directs callers as appropriate.
  • Assists with arrangements for various meetings.
  • Assists in the maintenance of scheduled appointments, conferences and interviews of immediate supervisor.
  • Organizes, types, copies and distributes school newsletter.
  • Maintains petty cash, fax and coffee fund records.
  • Assists in preparation and distribution of the staff handbook.
  • Assists in maintaining inventory and ordering office supplies.
  • Maintains records relating to participants in school field trips.
  • Completes forms, applications, requisitions and purchase orders.
  • Serves as a back-up to the clerk-typist/receptionist.
  • Issues appropriate passes to students.
  • Makes contact with the public with tact and diplomacy.
  • Promotes good public relations.
  • Attends meetings and in-services as required.
  • Other duties as assigned by supervisor.

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent with three to five years related previous experience preferred.

LANGUAGE SKILLS:

  • Ability to read, analyze and interpret documents and instructions.
  • Ability to write routine reports and correspondence.
  • Ability to communicate effectively with others.

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
  • Ability to compute rate, ratio and percent.

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and ABILITIES:

  • Must have strong communication, computer and interpersonal skills.
  • Ability to deal effectively with parents and others and be sensitive to confidential information.
  • Must have ability to learn and utilize new software programs as systems are upgraded.
  • Word processing with accurate grammatical, spelling and punctuation skills.
  • Must type accurately a minimum of 40 WPM.
  • Ability to work with essential office equipment.
  • Ability to establish and maintain effective working relationships with staff and school community.
  • Ability to speak clearly and concisely both in oral and written communication.
  • Ability to generate correspondence independently.
  • Must possess organizational and problem solving skills.
  • Ability to perform duties with awareness of all District requirements and Board of Education policies.

Job Type: Full-time

Pay: $19.48 - $22.62 per hour
