Mary's Woods is seeking a Resident Services Coordinator to join our Resident Relations team. The Resident Services Coordinator provides exceptional customer service to depositors, residents and internal and external partners of Mary’s Woods during both pre and post move-in timeframes. As the primary contact during the residents move-in and onboarding, this position will oversee the personalization of each residence, move-in coordination, on-boarding and new resident orientation to ensure a smooth transition into the community. Responsible for educating new residents about our community, services and amenities. The Resident Services Coordinator will bring to the team a spirit of service and hospitality by helping new residents fully acclimate to their new home and community.

We provide residents with over 100 years of history in a 40-acre wooded wonderland. We are a not-for-profit Life Plan/Continuing Care Retirement Community that prides ourselves on our rich heritage, spirit of caring, welcoming culture, historic grounds and amazing views.

Below are some of the core responsibilities, experience and skills needed to be successful:

  • Works collaboratively with the Sales team and other inter-departmental teams to ensure a seamless move-in process for new residents.
  • Creates operational work-flows to coordinate a Best in Class resident experience.
  • Meets with all depositors to review the details of their new residence and assist in making interior selections from Mary’s Woods independent living renovation guide.
  • Communicates timelines and upgrade costs to Sales team and depositor. Confirms additional fees have been collected prior to the commencement of work.
  • Solidifies the move-in date with depositor based on Environmental Services timeline of completion and performs walk-through to ensure residence is ready for scheduled move-in.
  • Coordinates new resident move-in day, welcome gifts, meals, and is the point of contact for resident, family, and movers.
  • Manages Move-in Calendar for coordination purposes; informs operations of scheduled move-ins, organizes and publishes weekly move-in reports.
  • At move-in, assists with on-boarding of new residents, ensuring a seamless transition and warm welcome in the community.
  • Creates and coordinates a comprehensive, effective and welcoming resident orientation program.
  • Creates and hosts presentations for new residents to showcase our community in detail to include: portal education, dining overview, Fitness & Wellness, Health Services, comprehensive campus tour and community engagement offerings.
  • Educates new residents about Mary’s Woods programs, events, educational opportunities and onboarding activities following their move-in and encourages participation.
  • Educates and assists residents and their families understand services and solutions available to help them maintain a self-reliant, independent lifestyle.
  • After move-in, provides continuous follow-up and addresses identified issues immediately with a goal to increase resident satisfaction.
  • Maintains relationships with residents through personal meetings or group functions, new resident orientation and resident council meetings.
  • Collaborates and supports New Resident Welcome Committee.
  • Maintains current knowledge of federal and state programs for the elderly.
  • Aware of and knowledgeable about Fair Housing regulations and responsible for educating residents in this content area.
  • Create an environment that acknowledges, encourages and celebrates differences.
  • Seek opportunities to gain experience working and collaborating in diverse, multicultural, and inclusive settings with a willingness to change for continual improvement.

Education and Experience Required:

  • Bachelor degree; or equivalent experience in related position preferred
  • Three (3) years customer service experience required
  • Previous senior living experience providing resident services preferred

This is a full-time position working Monday to Friday from 8:30 AM to 5:00 PM. The starting wage depends on experience and education.
