The Registrar Assistant I supports the daily responsibilities of the Office of the Registrar. Accuracy, integrity, privacy and security of all academic records are the priority. The Registrar Assistant works to ensure compliance with published policies and procedures while providing outstanding customer service.

As frontline staff, the following five items are required of the Registrar Assistant I:
1. Serve as first level contact for all registrar office inquiries from students, faculty, alumni, staff and the general public via email, fax, telephone or in-person.
2. Clear and concise dissemination of information regarding academic and administrative policies is the priority of this position.
3. Process ‘on-spot’ service request including but not limited to transcript and standard enrollment verifications.
4. Support in the fall, spring and summer semester pre-registration, online registration, add drop and new student registration processes.
5. Ensure all office of the registrar documents are scanned/indexed/coded and attached to the student record.

Essential job functions of the Registrar Assistant l:

  • Manage the Office of the Registrar request queue for BOS, MAN, WOR and ONL campuses and escalate appropriately.
  • Manage the weekly batch and end-of-term batch transcript request process.
  • Monitor all office supplies and small purchases and relay needs to Assistant Registrar.
  • Open and distribute mail interoffice and USPS.
  • Process Colleges of the Fenway registration/reconciliation.
  • Review Office of the Registrar web content. Including: forms, calendar dates, videos, process updates and links.
  • Support the ad hoc event requests for space for classes, meetings, exams, and other functions with the Registrar Assistant II.
  • Respond to and process document requests and management of workflow using the Document Management system, including but not limited to subpoena compliance.
  • Contributes to sustaining and enhancing an inclusive working and learning environment.
  • Perform other related duties as assigned by Assistant Registrar and/or Senior Associate Registrar, Administrative Services.
  • Minimum of a high school diploma or GED
  • Proficiency in MS Office
  • Excellent interpersonal and customer service skills
  • Ability to interpret legal requirements and respond to requests for confidential information
  • Ability to multi-task and establish priorities in a fast-paced environment
  • Ability to maintain a high level of accuracy in completion of work, including use of computer, filing and responding to requests for information
  • Ability to grasp computer applications quickly and efficiently
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment

Preferred:

  • A bachelor’s degree
  • Previous work in higher education setting
  • Familiarity with Colleague SIS

Physical Requirements:

  • Must be able to talk, listen and speak clearly on telephone
  • Standing, sitting, manual dexterity, ability to move between offices and floors of buildings
  • Ability to meet deadlines and perform well under pressure
  • Ability to be physically in attendance at designated worksite during scheduled work hours and to work some evenings and weekends
  • Normal range of vision and hearing (with or without correction)
  • Ability to lift up to 5-10 lbs
