Qualifications

  • Proficient verbal and written communication skills
  • Strong at organizational skills and prioritizing tasks. Detail-Oriented, quick learner
  • Multitask efficiently in fast-paced environment. Excellent time management skills
  • Bi-lingual (Spanish/English) is preferred but not required
  • Real estate experience is preferred but is not required
  • Must be able to commute to work in office in Cordova
  • Proficient at using Google Drive/Docs/Sheets, Microsoft Word/Excel
  • Ability to follow instruction, must be willing to learn
  • Ability to work both independently and also as part of a team

Responsibilities

  • Assist office manager on assigned daily property management tasks
  • Perform office routine administrative work, able to work remotely if required
  • Participate in training with Virtual assistants through google meet, voice and zoom
  • Contact vendor, tenant to schedule and follow up to complete maintenance request
  • Self-monitoring assigned task, record task date and status in detail to follow up and complete task.
  • Occasionally drive out to take photos and video record of properties, drop off or collect paperwork
  • Assist property manager with ordering building material and notify vendor to pick up
  • Coordinate and schedule various appointments, inspections, walk-throughs, closings
  • Monitor, record date and results of each Phone Calls, Texts & Emails; determine purpose of call/message and direct to managers or appropriate personnel
  • Help preparing documents using templates and information provided. Upload documents on DocuSign or other platform and keep track of completion
  • Verify information such as task completion, cost before accepting vendor receipt.
  • Copy and upload to appropriate database directory for all transaction information and documents such as labor and material receipt, lease agreements, sale contracts, etc.
  • Daily meetings with virtual assistants and managers to update tasks. Monitor and notify personnel of important deadlines
  • Occasional weekends On-Call to answer/direct phone calls with prearranged agreement
  • Oversee entire real estate transaction process (from executed purchase agreement to closing), including processing sales and keeping appropriate transaction documentation
  • Regularly update and maintain communication with agents, clients, title company, lenders, etc
  • Coordinate all data entry, pictures for the Multiple Listing Service (MLS)
  • Assist office manager on property acquisition, attend live or online auction
  • Occasionally drive out to property to meet with vendors for inspection and cost estimate
