Project Coordination
Functions as the project coordinator for all relocations, renovations and capital projects within the department, across all sites.

This position is responsible for all overall management of all Academic and Research Lab remodels and moves, which have historically ranged in cost from $50,000 to $600,000.

To appropriately manage space and large research equipment, the Department requires on ongoing assessment of space utilization and needs, costs of renovations and installations, assistance to investigators with moves and renovations, and assistance with strategic space planning for the future, all in collaboration with the Department leadership.

Coordinates work crew activities to minimize disruption to building occupants.

Serves as liaison with organization and external agencies regarding safety, access, maintenance, remodeling and construction activities.

Assists department leadership with budget development for moves and minor building infrastructure upgrades. This includes assistance with long-term planning and forecasting.

Space Tracking and Management

Gathers, analyzes, prepares and summarizes space reports for the department. Maintains inventory of all space within Archibus. Responsible for and leads the completion of the annual space inventory within Archibus.

Monitors on boarding and off-boarding of faculty and staff in regards to the space they occupy. Makes recommendations for space assignments based on an established matrix taking in account step, rank and seniority; submits recommendations for approval with faculty leadership

Provides analystical support to the research domain in regards to evaluating lab space requirements.

Facilities Management

Managing all department utilities, building maintenance, engineering services, fire and life safety services, landscaping, custodial and lock/security services, as well as various aspects of environmental sustainability such as energy efficiency and refuse and recycling. This effort is facilitated by a Department Facilities Work Request System, which captures and manages all facilities work orders electronically.This position will maintain and implement continuous improvements to this system.

Manages facilities requests for the entire department, includes routing tasks to subordinate staff as appropriate.

Troubleshoot issues research faculty have with lab facilities

Departmental Emergency Preparedness
  • Ensure department units are equipped with the necessary supplies in the event of an emergency.
  • Train department staff and faculty to prepare themselves for emergencies.
  • Coordinate the submission and maintenance of EAPs for the department. Manage department for emergencies and respond appropriately in crisis situations. Addresses department emergency planning, immediate lifesaving response and priority actions following a disaster.
  • Counsels department leadership to ensure a safe and secure facilities environment.

Oversee job performance of the Facilities Coordinator AA 3 (1 FTE)

  • Conduct formal performance reviews including discipline as necessary
Provide opportunities for the Facilities Coordinator to enhance and develop skills through:

  • Stretch assignments
  • Recommendation of appropriate formal training
  • Evaluate appropriateness of workload in relation to available time resources
