The Temporary Project Administrator supports the daily project and proposal operations through assisting with a broad range of general administrative duties and responsibilities. This position performs work within a normal office environment at a starting time between 7:30 and 8:00 AM. This position will be located at the reception desk and perform the tasks identified below:
Duties & Responsibilities: Under minimal supervision, the project administrator will provide:

Project Duties
  • Write, type, or enters information into spreadsheets, word processing, databases, and/or presentations, to prepare correspondence, bills, statements, receipts, checks, basic presentations, or other documents related to assigned projects.
  • Assists the Project Manager in compiling memorandums and other documents, as needed.
  • Sort and file project and other records.
  • Prepare correspondence, as necessary to ensure clarity in communications between the project team, client, and other relevant departments.
  • Answer telephone, convey messages, and run errands to/from other departments.
  • Stamp, sort, and distribute mail.
  • Photocopy documents as requested.

Proposal Duties
  • Respond to customer RFPs, RFQs and RFIs
  • Have technical writer skills to create, review and edit documents in a professional manner
  • Compile and organize electronic RFP information into hard copy construction documentation
  • Prepare technical responses
  • Work with Procurement and Subcontract’s to submit RFQ’s to Suppliers
  • Work with Estimators to perform quantity take off’s
  • Gather information from Engineering, Procurement and Construction
  • Ensure proposals are completed on time and issued to the customer
  • Strong knowledge in Microsoft Excel, Word and PowerPoint

General Admin Duties
  • Receive mail and ship document
  • Ensure professional looking work area
  • Other clerical duties, as assigned.
Required Qualifications :
  • High school degree or equivalent is preferred

Technical Skills
  • 1 to 3 years general office experience is preferred.
  • Intermediate level skill in using Microsoft Office products.
  • Technical writing skills
  • Alpha-numeric skills for sorting and filing records.
  • Detail oriented.
  • Ability to multi-task and shift priorities quickly.

Communication Skills
  • Ability to speak clearly in a way that is easy to understand.
  • Ability to write clearly, using appropriate grammar and punctuation.

People Skills
  • Self-motivated.
  • Ability to interact with all levels of employees and management.
  • Team player with great aptitude and attitude.
  • Must be reliable.
  • Time management skills
