The Program Coordinator position in the division of Food & Nutrition Services at MD Anderson Cancer Center in the Texas Medical Center will provide support to the Executive Director and project support and tracking for the division.

The ideal candidate will have experience working closely with leadership to manage their calendar, meeting agendas and any resulting action items for attendees, as well as experience tracking team project deliverables, providing updates, and maintaining master project lists.

Specific Responsibilities include:

General Office Duties and Leadership Support: Receive, manage, and prioritize calls and correspondence, on behalf of executive director and department leaders. Schedule, coordinate, and facilitate meetings across global time zones utilizing scheduling, calendar, and telecommunication/teleconference software and mediums. Support event coordination, supporting department leaders with detailed and complex initiatives surrounding planning and execution of these events. Manage, coordinate, and schedule all aspects of travel arrangements. Preparation of reports, presentations, spreadsheets, and other business documents, utilizing the full suite of Microsoft Office products. Assist with presentation set up and troubleshooting. Serve as a central point of contact for administrative inquiries on behalf of executive director. Handle confidential and/or sensitive information appropriately.

Customer Service and Employee Support: Possess good interpersonal skills when interacting with customers, vendors, business partners, and stakeholders. Consult and engage project stakeholders, architects, project managers, engineers and other staff regarding project scope, timelines, and milestones. Ensures Executive Director completes meet and greet with all new employees within 45 days of hire. Schedules all monthly routine meetings for leadership. Responsible for updating information for following systems: One Drive, Box, SharePoint, Concur, and Plan of correction (POC) Monitoring Tool. Create and distribute quarterly or biannually departmental e-newsletter to provide institutional updates, internal accolades, employee birthdays, promotions, retirements, and safety note. Coordinate and manage all employee engagement events. Update and Create Badge clearances for venues. Manage Performance Rewards Cards update with approvers and quantities to be allocated to each section.

Department Projects, Contracts, and Initiatives : Responsible for coordinating all aspects of department's facilities projects, initiatives, and contracts. Serves as point-person for internal and external project communications regarding schedules, timelines, and milestones. Create tools and templates to support project management and reporting to various stakeholders. Manage vendor and stakeholder expectations through engagement and frequent communication. Accountable for project spreadsheets and distribution of meeting minutes and action items. In collaboration with department leaders, ensure contract KPIs are complete and submitted via the contract software Sciquest. Support Executive Director with project software, developing scope of work, workflows, and entering and tracking facilities requests. Assist in monitoring and preparation of contract renewals, amendments, and Requests for Proposal (RFPs). With minimal supervision, consults with vendors, business partners, and key stakeholders regarding the progress of contracts and projects. Manage department's Quality Assurance Performance Improvement (QAPI) dashboard and submits monthly reports to internal and external stakeholders as requested.

EDUCATION:
Required: Bachelor's degree in Business Administration or related field.

Preferred: Master's degree would be a plus.

EXPERIENCE:
Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
