Position Overview

Circle of Life is growing and we’re looking for a Caregiver Operations Coordinator to join our corporate support team in Minneapolis. Circle of Life is a leading home care agency serving 6 states. We provide services for seniors, children, and people with disabilities, and our mission is to “honor those we serve.” We take pride in the responsibility we have caring for our clients so that they can stay independent in their own homes and communities because we believe that home is the safest place to be. We employ nearly 1,300 personal care assistants (PCAs) and have an office staff of more than 65. This role is a vital team member in supporting the operations of our Minnesota offices.

Pay & benefits:

  • $45,000-$55,000 dependent on experience, with potential for annual bonus.
  • Benefits include PTO & 9 paid holidays, full health, dental & vision, 401K (if full time).
  • Schedule is M-F, 8-4:30 pm with opportunity to work from home on Fridays.

Position Responsibilities

Overall, this position is responsible to lead the onboarding process for both PCAs or DCWs as we grow and welcome in more home care agencies to the Circle of Life family. Duties include:

  • Own and improve processes & procedures associated with PCA application and onboarding during a transition to Circle of LIfe
  • Review application materials for completeness and correctness
  • Process caregiver applications, including digital filing, tracking statuses in internal and external databases, and submitting files and requests via internal processes and external portals
  • Receive and process new client service agreements and manage annual updates, translate into internal databases
  • Train new office locations on COL’s procedures and business processes
  • Work closely with admin staff at the partnering agency to ensure a smooth transition (providing updates, tracking progress, problem solving)
  • Collaborate with headquarter leadership team on key projects and initiatives, including attending and contributing to team or project meetings

Qualifications

  • Associates degree
  • Experience working in an office environment
  • Proficient at accessing information on online portals
  • Ability to manage spreadsheets (Excel), save/access documents on a filing system in a cloud server (Sharepoint), and to manage workflow via email (Outlook)
  • Ability to communicate clearly via email, chat or verbal communication
