Position Overview
The Operations and Finance Coordinator (OFC) supports the Operations and Finance department and broader site through execution of administrative tasks and project planning assistance. The OFC will maintain evaluation practices and tracking for service events, create monthly social media plans for corporate partner engagement, and support with event document creation and photo editing and posting as needed. The OFC ensures that the City Year Greater Boston Service Delivery’s Department and Civic Engagement team’s day to day operations are running smoothly and efficiently.

The OFC is a member of the Operations and Finance team, works closely with the Civic Engagement and Service Delivery teams and reports to the Managing Director of Operations and Finance.
Job Description
Compensation and Benefits:
The anticipated start date for this position is fall 2022.
Salary range for this position is $50,000-$60,000.

Responsibilities

Budget and Expense Tracking:
  • Manages the Service Impact Purchase Card and manages coding of receipts/purchases.
  • Supports the Service Impact department with making purchases and ensures all HQ Purchase Card deadlines are met
  • Manage the school team budget process, including creating an easy to use tracking system and overseeing school team budget trainings
Event Support
  • Maintain evaluation practices to track volunteer experience data and project completion
  • Oversee private revenue event sponsorship invoicing, including fee for service and team and program sponsor invoicing
  • Support Civic Engagement Manager and Director with event document creation as needed, including materials lists and instruction sheets
  • Manage supply procurement and tracking for specific events
  • Assist with tech on virtual events when needed
Communications Support
  • Create and share social media calendar for National Grid partnership and Outlook calendar reminders
  • Edit and post event photos as needed
  • Edit and post event videos as needed
  • Support with social media calendar implementation as needed
Corps Operations
  • Serve as the site’s uniform point and assure the prompt and proper distribution of uniform parts, including nametags, to corps and staff. Oversee all uniform concerns such as monogramming, and returning of uniforms, relative to City Year standards.
  • Assist corps onboarding and registration annually, including leading AmeriCorps enrollment, background checks, team assignments in cyresource, and relocation payment initiation.
  • Purchase, disseminate, track and replace all corps and staff T passes as needed
Administrative Support
  • Strengthen the Service Delivery Department’s operations by managing the calendar, creating agendas, taking notes, and supporting other duties
  • Support the logistics of department hiring, as needed.
  • Update/Maintain the list of AmeriCorps Members that are actively serving at site.
  • Serve as a contact point for the Service Delivery team and other teams/departments
  • Support with school team’s logistics as needed
  • Respond to supply and event question emails from volunteers
  • Create and maintain registration pages for events
  • Assist with tracking RSVPs for service events
  • Support the interview process for Senior AmeriCorps Members
