Job Description:

Reporting to the Director of People Operations, the Onboarding Specialist is a key member of the People Operations team and support. The ideal candidate will establish strong trusting relationships with all levels of leadership and, in many cases, be the first point of contact representing the People Operations team.

The Onboarding Specialist is responsible will be responsible for providing administrative support and coordination of the onboarding processes for new employees. They will provide onboarding support by assisting recruiters, hiring managers and new employees with the onboarding process.

Position Duties:

  • Conducts new hire orientation and provides onboarding support to managers, including facilitation of onboarding process, probationary period reviews and development of onboarding tools to support employees and leaders across all functions
  • Coordinate with all departments and all levels of management to ensure that new employees have what they need for day one (i.e., equipment, email accounts, login and systems credentials, software, PPE etc.)
  • Proactively manage the incoming new employee lists to hit target dates and ensure deliverables are met
  • Maintain various trackers and spreadsheets and follow up on pending details accordingly
  • Coordinate closely with the Talent Acquisition Team to successfully complete new hire entries into the HRIS system, and monitor electronic onboarding tasks to ensure that they are complete prior to orientation
  • Provide support for systems data audits and communicate required changes to IT, Payroll and other departments as needed
  • Be the front line for our Team Members and answer questions and concerns about People Operations policies, processes and benefits
  • Document and maintain process procedures for People Operation systems as it relates to new hire orientation
  • Manage the off-boarding processes to include exit interviews with departing team members, maintaining the exit checklist and communications
  • Continually works with the People Ops team to assist with the recruitment process, including reviewing job descriptions and posting, sourcing resumes, coordinating interviews with hiring managers and coordination of candidate flow to correct requisitions in the ATS system
  • Processing onboarding paperwork by providing manuals, guidelines, passwords, etc. for the new employees during new hire orientation
  • Ensure compliance with all regulation and oversee I9 and E-verify process
  • Introducing new hires to their new team members
  • Act as a resource to all new hires and their managers with questions and supply necessary resources needed to successfully bring them aboard
  • Follow up with new employees to evaluate on-boarding experience and recommend ways to enhance the new hire onboarding programs and experience
  • Regularly assesses and recommends program changes and enhancements to drive better retention and engagement of new hires
  • Work on new and existing projects specified by management
  • Develop and maintain employee self-service resources

Qualified candidates will have:

  • 2-3+ years of People Operations Coordinator and/or Customer Service experience with the ability and desire to grow within PEOPLE OPERATIONS
  • Advanced digital literacy (Word, Excel, Power point)
  • Strong attention to detail and highly organized
  • Proven time management skills (prioritize, multi-task and meet deadlines)
  • Excellent communication skills, both written and verbal
  • Strong interpersonal skills with ability to interact with all levels of staff
  • Able to work well under pressure
  • Ability to lift 20 pounds
