The College of Health Solutions (CHS) is seeking a highly-motivated, enthusiastic Office Assistant/Receptionist to perform administrative work requiring initiative and independent judgment. Under administrative direction, this position serves as the front facing receptionist for CHS faculty, staff, students, and visitors at the Downtown Phoenix Campus. The incumbent will work independently to implement administrative policies, handle problems and non-routine situations by determining the approach or action to take, and interpret guidelines, procedures, policies and practices. The successful candidate will be a self-starter with an efficient work methodology, excellent communication skills, productive work qualities, an ability to coordinate multiple tasks autonomously, and someone who can exercise sound judgment in decision-making.

Hours are in person, Monday – Friday, 8:00 am -5:00 pm with one-hour lunch.
This position is NOT eligible for Hybrid work. It requires an employee to be available during the following work hours: 8:00 am 5:00 pm, Monday-Friday for a 40-hour work week.

Essential Duties

  • Responsible for opening and closing office, coordinates building and equipment maintenance requests.
  • Maintains proper inventory of faculty and staff office supplies; order and replenish items as needed.
  • Ensures the mail/supply room is maintained in an orderly and organized fashion.
  • Delivers messages to unit members.
  • Sorts and distributes incoming mail.
  • Receives and sends shipments and deliveries utilizing FedEx, UPS, and interoffice mail.
  • Supports CHS Facilities with floor plan updates, office moves and packing, nameplate requests, space surveys, and maintenance requests.
  • Provides support for faculty onboarding to include preparing workspace, ordering business cards, name badges, and assisting with new employee resources.
  • Operates office equipment such as copiers, fax machines, printers, or other equipment found in work unit.
  • Types routine letters, labels, reports and similar items from rough draft or clear copy.
  • Process documents or forms according to instructions.
  • Delivers items to other offices or locations.
  • Ensures that classrooms and public spaces are unlocked and accessible.
  • Prints and replaces weekly classroom and conference room calendars daily and as needed when changes occur.
  • Reserves CHS and University classrooms in addition to CHS conference rooms.
  • Provides general IT support (i.e., general troubleshooting, Zoom setup, Conference Line setup).
  • Submits service tickets for copier maintenance and Facilities' requests.
  • Prints/Copies class materials and exams for CHS faculty.
  • Assists faculty with creating digital copies of book excerpts as needed for class instruction.
  • Acts as primary contact for assigned functions with other departments.
  • Participates in special projects with staff as directed.

Minimum Qualifications

No prior experience required; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience working in a higher education environment.

  • Experience utilizing Outlook, Microsoft Office Suite and Google Drive.
  • Demonstrated knowledge of standard office policies and procedures.

  • Experience in using initiative, strong organizational skills and attention to detail.
  • Experience in anticipating problems and resolving them.
  • Experience in managing multiple high priority projects in a fast-paced environment requiring considerable coordination and follow through.
  • Experience in dealing with confidential and sensitive information.
