The Office Administrator handles customer service activities; provides as needed local human resources, accounting, vendor and production support; and administrative support for Perma-Column team

Responsibilities

  • Customer Service
    • Handle day-to-day issues for existing customers
    • Enter orders, enter order updates, provide miscellaneous order communication
    • Provide quotes
    • Answer questions regarding stock status
    • Send leads to distributors
    • Provide shipping weights for trailers
    • Provide order status
    • Provide tracking information/follow-up
    • Interact daily with customers
  • Administrative support
    • Carry out receptionist duties
    • Send items to existing customers
    • Complete activities to support Perma-Column team as needed
  • Financial
    • Provide support for Accounts Payable/Receivable activities as needed
    • Provide information to parent company as needed
  • Human Resources
    • Answer local HR benefit questions
    • Coordinate special activities (lunches, outings, etc.)
    • Provide information to parent company as needed
  • Shop Floor Support
    • Order supplies/issue purchase orders
    • Enter inventory data, adjustments and reconciliation items
    • Complete production reporting activities
    • Enter supporting document information
    • Communicate with vendors
    • Print labels and paperwork as needed
    • Coordinate LTL and UPS shipments
  • Shipping
    • Issue paperwork
    • Coordinate shipments/set up freight
  • Other responsibilities as assigned

Qualifications

  • Associates Degree or 2 years of related experience
  • Possess excellent organizational skills
  • Positive attitude, ability to take initiative, self-starter, and good work ethic with minimal supervision
  • Regular attendance required and be willing to work overtime as required
  • Able to multitask several projects at one time
  • Team player, willing to work with others and assist with special projects as needed
  • Must have average to above average computer skills that include being proficient in Microsoft Word, Excel, Outlook
  • Experience with QuickBooks or other business system software preferred, but not required
  • Able to work in a fast-paced environment
  • Ability to maintain confidential information
