The Administrative Assistant - Leasing will be responsible for assisting Leasing Consultants with Administrative functions, providing administrative support to Leasing
Manager and in charge or front office duties.


Primary Responsibilities:

  • Assist Leasing Consultants in executing administrative functions, including in-processing of new clients, issuing of home assignment related paperwork, answering general questions about availability and leasing policies and procedures, daily move in confirmation, lease document preparation, signing of lease document as needed, and setting appointments for Leasing Consultants.
  • Responsible for adding on-line applications to appropriate wait list in the North Region and distributing of applications to the South Region to include timely follow up via email communication or phone call to all applicants within 5 business days.
  • Support Leasing functions including: guiding prospective residents through the website, highlighting pictures, floor plans, application and wait list status; sending
    new applications to prospective residents; reviewing applications and forwarding to the appropriate leasing consultant.
  • Responsible for checking CallMax and LeaseHawk notifications and responding to them.
  • Responsible for submitting accounting related reports monthly and banking activities daily.
  • Maintain accurate and timely data entry of various marketing tracking spreadsheets.
  • Provide general office duties; answer phones, return messages, greet clients, keep waiting area clean, and assign clients to available Leasing Consultants timely.


Job Requirements:

  • High School Diploma or GED required
  • Minimum 1 - 3 years experience working in an administrative role required
  • Experience with computer systems required which, include web based applications and some Microsoft Office applications which includes Outlook, Word, Excel, PowerPoint or Access.
  • Ability to summarize and communicate moderately complex information in varied written formats to internal and external customers
  • Comprehend and communicate complex verbal information in English to organization staff, clients, visitors and external customers.
  • Interact respectfully with other clients, visitors, organization staff and/or external contacts to offer ideas, identify issues, obtain information or deliver services.
  • Provide a high level of customer service to internal and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving.
  • Must have a current vehicle license in good standing and meet the driving records standards outlined in the Company Safe Vehicular Operations Policy
