Under the supervision of the QI / Data Coordinator, the Medical Records Specialist helps to ensure the integrity of the data within the electronic health record for each patient, so that outside records are incorporated into the patient record, thus reducing unnecessary testing and assuring NMHSI quality metrics are elevated. The Medical Records Specialist is responsible for management of all medical record requests, according to HIPAA and other laws that assure confidentiality including mental health and substance use disorder records. The Medical Records Specialist requests, copies and sends records, scans documents into the EHR and appropriately forwards to clinical providers for attention.

This position responds to patient records access requests and third-party requests. As a member of the Quality Improvement Department, this position helps to ensure the hygiene of clinical data and quality of care metrics and will produce reports to support quality improvement teams in their work.

Qualifications

Education

  • Associate degree preferred.


Skills

  • Excellent reading, writing and math skills.
  • Accuracy in data entry, filing and organizational skills.
  • Must be able to multi-task, prioritize and manage time.
  • Must participate in eClinicalWorks medical record training.
  • Knowledgeable of a variety of office equipment, i.e., fax machine, copier, phone, and calculator.
  • Ability to work independently with minimal supervision.


Interpersonal

  • Excellent communication, ability to work with individuals of diverse economic, social and/or cultural backgrounds.
  • Must have customer focused interpersonal skills in order to interact in an effective manner with patients, families, and the public.
  • Must be able to effectively collaborate with administration, providers and clinical support staff.


Knowledge

  • Knowledge of organizational policies and procedures.
  • Knowledge of eClinicalWorks EHR, computer systems and applications.
