General Responsibilities/Essential Functions

· Promote and maintain awareness of Agency programs, services, and activities

· Answer telephone calls politely and professionally, screen and forward appropriately

· Greet clients and assist with any questions/concerns

· Ability to build rapport with client(s), paying attention to detail and providing excellent customer service through positive, professional interaction

· Answer client questions as needed both telephonically and in person

· Schedule/update client appointments correctly paying close attention to detail

· Accurately enter and update any new information into patient’s account utilizing computer system including demographic and insurance information

· Verification of client identify with driver’s license/valid identification; verification of client insurance per Agency policy and procedure

· Scan all necessary forms into patients’ electronic health record paying close attention to detail for accuracy

· Capture and document all data required for UDS reporting in electronic medical record

· Follow proper office opening and closing procedures

· Participation in quality improvement and/or patient satisfaction initiative as directed

· Attend meetings, seminars, workshops and/or conferences, as needed and approved for professional development and on behalf of Community First Health Centers

· Other duties as assigned.

Unique Responsibilities for Medical Receptionist

· Communicate patient information and messages, effectively and efficiently verbally and through electronic health record

· Verify each patients’ insurance for next day’s appointment; scan insurance card(s) and identification at patients’ time of arrival in electronic health record

· Obtain driver’s license and signatures for required written medications

· Assist patient(s) at check-out with re-check appointment(s), payment(s), receipt(s), collection of co-pay(s), patient visit summaries and work/school note(s) as requested

· Verify demographic information; any changes updated in patients’ electronic health record

· Update all structured fields and patient information in electronic health record as required

· Capture and document all data required for UDS reporting in electronic medical record

· May be responsible for day receipts, cash and credit card balances

· Call patient(s) to reschedule missed appointment(s)

· Responsible for educating and enrolling patients in the patient portal

· Complete billing jellybeans in a timely manner to reconcile any billing errors

· Sign for all packages/deliveries for the medical center and inform medical assistant(s) immediately when refrigerated item(s) are delivered

Unique Responsibilities for Dental Receptionist

· Prepares for daily morning huddle as described in the huddle process

· Must have the ability to triage efficiently and effectively

· Conduct patient check in/out, receipts, visit summaries and/or school/work notification(s)

· Verify demographic information, update/change in patient electronic health record as needed, scan in insurance cards and valid identification at patient arrival

· Perform insurance verification, pre-determination(s) and process payment(s); will be responsible for day receipts, cash and credit balances

· Preparation, presentation and signature of agreement of treatment/payment plan developed with Dentist

· Verification that all dental lab bill(s) have been paid by the due date

· Run reports on patient missed appointment(s) and unscheduled treatment plan list(s); call patient(s) in attempt to schedule missed and/or overdue treatment

· Obtaining of all necessary medical clearance as requested by the Dentist

· Follow up on all patient referral(s) to and from the dental clinic

· Responsible for educating and enrolling patients in the patient portal

· Responsible for patient recall list(s) by sending out patient post card reminders

· Follow proper office opening and closing procedures including unlocking doors, proper lighting, starting equipment while ensuring office space is clean and neat

· Complete billing jellybeans in a timely manner to reconcile any billing errors

Education and/or Experience

· High School diploma or General Education Degree (GED) required; college coursework preferred

· General office/administrative services experience preferred

· Excellent customer service skills

· Familiarity with medical and/or dental terminology

· Experience working with an Electronic Medical Records (EMR) system

· Computer proficiency

· Ability to read and speak English proficiently.

Job Type: Full-time

Pay: $14.40 - $16.28 per hour
