Logistics Coordinator and Data Entry

The Logistics Coordinator and Data Entry is responsible for overseeing all aspects of supply chain management, ensuring the flow of raw materials and final products from suppliers to retailers and customers. They also manage orders and coordinate stock of materials and equipment to ensure the company has everything needed.

Essential Duties and Responsibilities

  • Schedule outbound and inbound shipments.
  • Provide input and complete freight bills.
  • Assist with the communications with carriers when issues arise.
  • Make recommendations with regard to transportation, routing, carrier selection and assist to meet customer requirements.
  • Prepare and review invoices for accuracy. Adds shipping to invoices.
  • Prepares invoice, bill of ladings, AES and other freight related documentation for commercial freight invoices and for ocean & air cargo.
  • Ensure all supporting documents are accurate, available and applicable to the customer order/shipment.
  • Organize pick-up schedules as applicable for cargo.
  • Request Bills of lading from shipping lines.
  • Scan and upload invoices, shipping documentation, as part of company guidelines.
  • Compile and submit accurate, regular and timely reports as requested.
  • Provide customer statistics regarding shipments via email or through verbal transmission.
  • Keep communication flowing with customer on a daily basis to ensure the highest customer service.
  • Process new rate requests, especially during the booking portion, along with pertinent information to pricing for rate submission and approval from customer.
  • Report and document any irregularities to team immediately.
  • May participate in strategic coordination and execution of sampling initiatives or events
  • Coordinate with event managers on schedules, product needs and event equipment
  • Capture sales data for final count and report imputing into QuickBooks
  • Works with Sales team it input information in various portals
  • Work with owner to file international documents for shipments
  • Warehouse movement and ingredient transfer
  • Main contact for warehouses Relay, Bridgetown and RJW
  • Data entry to include website locator, and other internal databases
  • ASN entry and management in EDI system
  • Tracking shortages/damages and filing freight claims when needed
  • Other duties pertaining to logistics and general company operations

Key Competencies

  • Proficiency with Microsoft Office suite
  • Experience with QuickBooks
  • Excellent oral and written communication skills
  • Ability to develop strong relationships with internal and external customers
  • Ability to build presentations and develop business reviews utilizing standard computer software programs
  • Demonstrate flexibility in overcoming problems and personalities
  • Ability to focus and work cross-functionally across many levels of the organization
  • Strong project management skills with the ability to meet tight deadlines
  • Ability to thrive in a remote office environment, setting and managing one’s own day-to-day schedule without close oversight from supervisor

Physical Requirements:

  • Lift/Carry and Push/Pull up to 25 lbs.
  • Bend/Stoop/Crouch/Squat
  • Use arms/wrists/hands/grasp
  • Use of industry tools: hand truck, box cutter
  • Work primarily indoors

Work Environment

  • Predominately remote with occasional in-person meetings and events.
  • Remote office. Laptop and printer supplied.

The work conditions for this job are:

  • Maintains motor vehicle minimum insurance requirements. Maintains valid state-issued driver's license with a clean driving record
  • Ability to work occasional Saturday's and Sunday's - optional
  • Must have a working phone
  • Must have internet

Expected Hours of Work

  • This is a full-time position (40 hours per week). The hours worked will be negotiated with the owner to meet your needs and the teams.

Required Education and Experience

  • High School diploma or GED required.
  • Valid driver's license and auto insurance required
  • 1 year of Logistics Export & Imports experience
  • Microsoft Office and Adobe proficiency. QuickBooks experience.

Job Type: Full-time

Pay: $19.00 - $26.00 per hour
