Benefit Responsibilities

  • Back up to Benefits Manager with regard to vendor management and benefit data.
    • Serve as contact for plan vendors and third-party administrators, and responsible for weekly benefit interfaces.
  • Providing benefit support to the Benefits Manager: 1) Processes benefit interfaces; 2) Processes benefit billing; 3) Processes medical child support orders.4) Assist with benefit ID cards; 5) Responds to employee inquiries.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Maintain benefits files.
  • Assist in preparation of reports for Legal, Tax and Payroll
  • Conduct the stock purchases for the ESPP
    • Preparing deduction reports for reconciliations and validate Helix and Fidelity’s records match
      • Determine the dollar amount for ESPP purchase
      • Determine the number of shares that will be purchased
      • Track the number of shares in plan
      • Manually load Brazil participant deduction amounts from their paychecks into Fidelity
      • Process all ESPP electronic files via interfaces
    • Monitor the election amounts for employees via the element register reports
    • Help employees with ESPP questions and issues in Fidelity
  • Monitor the 401(k) loans by reviewing the monthly report provided by Fidelity to ensure participants are aware of a change in delinquent or default status.
  • Assist with the administration of employee benefit program including life, disability, and health plans, 401(k) plan, personal savings plan, and deferred compensation programs.
  • Assist with processing of Form 4 Reports/RSA Reports, run upcoming vesting and settlement reports as needed for Tax and Finance departments.
  • Provide Accounting with monthly journal entry for the medical reserve account.
  • Monitor the Leave of Absence process for employees on STD, personal leaves and FMLA.
  • Assist with compliance for the Affordable Care Act.
  • Assist with all nuances of benefit enrollments, changes and terminations.
  • Handles benefit inquiries and complaints to ensure quick, equitable, courteous resolution. Maintains contact in person, and by phone or mail, with hospitals, physicians, insurance companies, employees and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
  • Processes group insurance claims covering company employees and dependents. Forwards claims to specified carrier, reconciles claim payments if needed. Checks and verifies dental insurance bills and authorizes payment. Answers employee questions concerning benefits; refers to various resources for information as needed. Enrolls new employees in programs, conducts short orientation to explain benefits. Explains additional benefits at the end of the probationary period.
  • Reviews payroll records to ensure that employee deductions are made accurately, and checks to ensure that these and company contributions are forwarded to carriers and administrators in a timely manner.
  • Assembles the required information for annual employee census required for quotes from health providers and insurance carriers.
  • Requests checks from accounting department to make payments to carriers and contributions by employees and company to personal savings plans and 401(k) plan.

HR Responsibilities

  • Runs scheduled HR reports; monthly global termination reports, Safety reports for US and UK.
  • Provide support as needed to senior level management within the HR department. Includes Oracle testing and annual compensation administrative support.
  • Create job titles
  • Conduct periodic audits for HR files, I-9’s and Oracle data.
  • Answer routine inquiries from inside and outside the company on employment verifications, benefit claims processing, and job openings in line with written company policy on these matters.
  • Assists compensation and benefits administrator in preparing government reports.
  • Annual Disaster Recovery Testing

Provide back up to HR Rep when needed:

    • Process new hires, leaves of absence and terminations: 1)Prepare offers/promotions/transfers/final pay memos and exit interviews; 2) Conduct New Hire Orientation; 3) Enter new hires and various information into Oracle; 4) Set up folders (both electronically and hard copies); 5) Schedule pre-employment drug screens, I-9's and background searches;
    • Assisting employees with Flag State Licenses/VISAs/Passports, Sea Time/Drug Free letters and VOE’s.

Compensation Responsibilities

  • Work with Compensation Manager in preparing LTI letters and loading to Fidelity.
  • Works with Legal department by providing assistance with reports for the Proxy.
  • Prepare RIF data and memos
  • Prepare Comp letters/Bonus letters
    • Gathering data and preparing mail merges
  • Gathering the Compensation Survey Data
  • Administrator for SharePoint for Quality Site
  • Provide back up support to HRIS/Compensation Manger.
  • Assist the HR Department in special projects and areas of need.
  • The job responsibilities vary within the focus of compensation and benefits, requiring independent judgment.

General Skills

  • Knowledge in the areas of: ERISA, COBRA, HIPAA, FMLA, ADA and other similar state specific leave laws.
    Ability to prioritize, multi-task and meet deadlines in fast paced environment.
  • Knowledge of Human Resources laws and regulations.
  • Excellent communication, interpersonal, relationship building, consulting, teamwork skills
  • Excellent attention to detail to ensure data integrity

Qualifications

Education: High school diploma with 0-1 years of relative work experience
