Job Summary


Reporting to the Associate Registrar, Curriculum and Graduation, the Graduation Degree Auditor is responsible for reviewing undergraduate and graduate level student degree audits in Degree Works including, but not limited to, reviewing and interpreting University of West Georgia (UWG), University System of Georgia (USG) and Southern Association of College and Schools (SACS) policies, and UWG program requirements in preparation for recommending candidates to faculty for degree conferrals. The Degree Auditor works in collaboration with the Associate Registrar, Assistant Registrar Graduation, and other Degree Auditors within the Office of the Registrar to complete degree audits for graduation applicants; process curriculum changes for all UWG students; calculate Latin Honors Awards; code Latin Honors, Honors College, and Departmental Certificate awards; prepare portions of the commencement ceremony program; and plan for commencement ceremonies.

Responsibilities


Degree Auditing - 70
"'Review undergraduate and graduate level student degree audits in DegreeWorks and compare program requirements to appropriate catalogs and program change requests in Curriculog in preparation for recommending candidates to faculty for degree conferrals. Review includes, but is not limited to, reviewing coursework and other non-course requirements in Banner and Degree Works; reviewing university catalogs to ensure accuracy of degree auditing system; interpreting and explaining to students, faculty and advisors the policies and procedures governing degree requirements; and tracking updates to student records throughout a student's term of graduation application. Assists with applying petitions/exceptions in the degree auditing software.
'Assist in the application of exceptions and petitions in DegreeWorks once approved by departments and Associate Registrar-Curriculum & Graduation or Assistant Registrar Graduation.
'Processes major, minor, concentration, and catalog changes for undergraduate and graduate students upon request from academic advisors, graduate school, or students.
'Responsible for creating and maintaining internal documentation and reporting for graduation area processes. "

Communication - 12
In collaboration with other members of the Graduation Area in the Office of the Registrar, coordinates student communications including, but not limited to, commencement ceremony details, curriculum & advisor changes, graduation application deadlines, Latin Honors designations, repeat coursework issues, deferral of students to subsequent semesters when degree requirements are unmet, and missing requirements for degree completion notifications.

Commencement Planning - 10
In collaboration with the Assistant Registrar Graduation and other Degree Auditors, prepares for the student check-in, seating, and name calling at the commencement ceremony, prepares the names, honors designations, and special notes for the commencement program, orders and processes diplomas, and notifies students of degree awarding. Additional duties related to commencement preparations include maintaining inventory and supplies such as scrolls, diploma mailers, and yard signs.

Events - 8
Assists in the preparations for Grad Fairs and represents the Office of the Registrar during fall and spring fairs. Represents the Office of the Registrar at all UWG Commencement Ceremonies.

Position makes decisions regarding data management, auditing, student records, strategy, graduation, training, and outbound communications both internally to students, faculty, and staff; and externally. Decisions made may significantly impact enrollment, student retention, student grades, student courses, and have a potential for high consequence of employee error, which indicates a higher level of responsibility.

Required Qualifications


Educational Requirements
High School Diploma or equivalent required.

Required Experience
Four to six years administrative experience.
Computer literacy and proficiency in Microsoft Word, PowerPoint and Excel required; must have excellent interpersonal, verbal, and written communication skills. Ability to facilitate and foster effective working
relationships with students, parents, administrators, faculty and staff, and work autonomously on assigned tasks and projects.

Associates or Bachelors' degree

Preferred Experience
"One year of higher education experience, preferably in the Registrar's Office or a student services department. Preference is given to individuals with experience directly related to performing degree audits or curriculum
management and knowledge of Banner & Degree Works. Preference is also given to applicants displaying a high aptitude to comprehend and grasp information quickly. High standards of ethics, honesty, integrity, and
confidentiality. Must have the ability to lead a group, team or project, type 40-50 wpm, consistently produce work with 100% accuracy, and possess exceptional problem-solving skills with the ability to communicate effectively
with a variety of constituencies."

SKILLS
