Job Responsibilities:


This position is responsible for assisting the Executive Vice President, and otherwise maintaining and facilitating all aspects of the Executive office.

MAJOR RESPONSIBILITIES AND AUTHORITY

Maintain the Executive Vice President schedule and the Calendar of Events for Texas Farm Bureau Insurance Company.

Serve as the Executive Vice President’s assistant and scheduler to ensure the office is run in an efficient, organized, and professional manner.

Prepare and submit purchase card reports for executive area.

Prepare and submit to Texas Department of Insurance Board of Directors and Officers Biographical Affidavits.

Serve as notary public for Executive area.

Assist in preparing Board Reports and follow-up as instructed by Executive Vice President.

Prepare and submit Texas Department of Insurance filings which include debentures, dividends from BCNF and Service Agreements.

Schedule conference/meeting rooms.

General administrative duties including typing, transcribing, filing, and opening mail.

Answering the telephone and handling other communications for the Executive area.

Scheduling and maintaining calendar of appointments and deadlines for the Executive Vice President.

Maintaining electronic document filing system calendar and retrieving documents as needed.

Order flowers for Insurance Company in accordance with Company procedures.

Assisting with special projects.

Comply with the Certified Fleet Operator requirements of the Company Driving and Safety Policy.

Other duties as assigned.



Job Qualifications:


High school diploma or equivalent.

Associate Degree preferred.

Proven experience as an Administrative Assistant.

Efficient clerical skills, including but not limited to a working knowledge of personal computers (including Microsoft Word, Microsoft Outlook, PowerPoint, and Excel), as well as working knowledge of transcription equipment, copy and scanning machines, fax machines and other office equipment.

Excellent written and oral communication skills.

Strong organizational skills with ability to coordinate a number of tasks at the same time.

Working knowledge of insurance industry helpful.

Ability and willingness to learn and extend skills.

Valid Texas driver’s license and driving record at the time of hire which would not place the employee on probation, or disqualify the employee from Certified Fleet Operator Status, under the Company Driving and Safety Policy.

PHYSICAL REQUIREMENTS

Use of PC, telephone, copy machine, scanner, fax machine, and other office equipment over extended periods.

Extended periods of sitting and concentration.

Occasional bending, twisting, crouching, pulling, pushing, lifting, and moving items weighing up to 30 lbs.

WORKING CONDITIONS

Occasional travel by auto or other public transportation

Occasional periods of high-stress situations required in meeting necessary deadlines.

Work to be conducted in office environment owned or leased by company.
