The Division Assistant to the Division of Social Sciences is responsible for providing a variety of administrative functions, which may include the performance of special assignments for the Dean, Department Chairs, and Faculty of the Division of Social Sciences.

This position also includes “institutional” responsibilities for data entry, maintenance, and data verification and the verification of data reporting for any or all of the following internal or external organizations: Human Resources, Purchasing, General Counsel, Academic Affairs, Registrar, Financial Aid, Facilities Management, State Agencies, private organizations, and accreditation organizations.

Assist Dean, Department Chairs, Program Directors, and Faculty in matters regarding equipment and supply budgets.

Perform a variety of clerical, receptionist, and word processing duties in support of the division.

Write contracts, keep records, alter class schedules, and maintain contacts between the Division and other institutional departments as needed.

Minimum Education/Experience
Successful completion of some college credit coursework.

One year full-time work experience in an office environment.
Required Knowledge, Skills & Abilities
Proficient with Microsoft Office or similar software.
Ability to learn new computer programs and handle change.
Knowledge of computers and various software programs. Positive human relation and communication skills.

Ability to work in a confidential and professional manner.

High quality interpersonal communication skills and ability to de-escalate situations.

Excellent customer service.

Basic computer software trouble-shooting.

Experience managing scheduling of events and room reservations.

Experience with departmental budget management.

Experience facilitating hiring-related processes.
Physical Demands/Working Conditions
1. GENERAL PHYSICAL REQUIREMENTS:
Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of force greater than that for Sedentary Work and the worker sits most of the time, the job is rated for light work.

2. PHYSICAL ACTIVITIES:
Reaching: Extending hand(s) and arm(s) in any direction.

Pushing: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.

Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.
Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand or arm as in handling.

Grasping: Applying pressure to an object with the fingers and palm.

Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which one must convey detailed or important spoken information or instructions to others.

Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and make fine discriminations in sound.
Repetitive Motions: Substantial movements (motions) of the wrists, hands, and/or fingers.

3. VISUAL ACUITY:
Requires visual acuity to perform activities such as but not limited to: preparing and analyzing data, figures and reports; transcribing; viewing a computer terminal; expansive reading; visual inspection of small parts and/or operation of machines; using measurement devices; and/or determining the accuracy, neatness, thoroughness of work assigned.

4. WORKING CONDITIONS
Typical office environment; this position is not substantially exposed to adverse environmental conditions.

Associate’s Degree

Experience working in an institution of higher education.
