Behavior Frontiers, LLC is a leading agency providing applied behavior analysis (ABA) treatment to help children with autism and other special needs to reach their full potential. Our expert team of Board-Certified Behavior Analysts (BCBAs) and highly trained behavior technicians use state-of-the-art ABA methods to teach children social, communication, play, cognitive, and self-care skills, while reducing problem behaviors. The Director of Intake Operations is responsible for service delivery across 40+ regions throughout the country. The Director of Intake Operations to the Chief Operating Officer but works closely with Recruitment and Client Service department heads, and Clinical Directors to ensure that client families enjoy a warm, empathetic, and efficient intake experience.


Availability: Full Time (Monday – Friday / 40hrs a week)

Location: El Segundo, CA

Requirements:

  • 5 years of management level experience, preferably in healthcare operations or intake/admissions
  • Bachelor’s degree required
  • Experience with Salesforce and EHR systems
  • Strong knowledge of healthcare insurance, financial counselling, authorization process, etc.
  • Ability to provide excellent customer service
  • Demonstrate leadership and teambuilding skills
  • Build internal and external strategic working relationships
  • Read and interpret data analytics related to regional performance
  • Ability to use reports and data to assess an individual or teams’ performance
  • Use data analytics to seize opportunities or identify and prevent negative trends
  • Demonstrate effective planning, organizational, time management and prioritization skills
  • Excellent interpersonal skills and a cooperative attitude
  • Excellent problem-solving skills
  • Excellent attention to detail
  • Ability to prioritize and respond to important tasks in a timely manner

Responsibilities:

Weekly Responsibilities

  • Pursues and fulfills case growth targets
  • Maintains regional capacity to understand case growth opportunities
  • Meets with operations department heads to plan toward goals
  • Oversee performance metrics and monitor effectiveness of overall operations of intake department
  • Manage company specific KPI’s and oversee productivity of team members in intake department
  • Manage systems, process, and people-oriented methods to improve intake operations, including but not limited to screening, appointment scheduling, referral management, and customer service delivery
  • Communicate and build relationships across company departments to ensure best practice sharing and implementation to enhance scalability and client satisfaction
  • Maintain referral conversion rate at established best practice standard and ensure other metrics are met that support company’s KPI’s
  • Coordinate with recruitment department to ensure adequate clinical capacity to meet the needs of clients and referral sources/partners
  • Analyze data regularly to identify trends and solutions to improve the efficiency of intake operations according to company objectives
  • Summarize and report referral statistics and trends to executive management. This entails daily, weekly, monthly intake dashboard summary reports and weekly, quarterly, monthly operational efficiency reports.
  • Prepares for seasonality and establishes plans with operations department heads and Clinical Directors
  • Enforces policies and/or makes executive decisions regarding exceptions to policy, as appropriate
  • Identifies process improvement and creates a plan to present to management
  • Responds to client and employee questions/concerns
  • Meets with Chief Operating Officer on a weekly basis, or more often, as needed, to provide status reports, assess progress toward goals, and discuss areas of improvement
