Baker Constructors, Inc. is a construction company performing work throughout the Southeast with offices in Savannah, GA, and Jacksonville, FL. The Contracts Administrative Assistant position is based in the Savannah office. The primary responsibilities of the position include preparing contract documents, communicating with contractors, maintaining contract files, data entry, preparing project Notices, and insurance tracking.
RESPONSIBILITIES
· Assists Estimating in bid preparation and with data information transfers for awarded bids to our accounting systems.
· Routes Owner or GC Contracts inter-office for approval and signature. Requests bonds and insurance when required for Contracts.
· Prepares and issues subcontracts, purchase orders, and change orders for Subcontractors and Vendors / Suppliers.
· Prepares projects Notices.
· Requests, tracks and maintains adatabase of insurance.
· Performs a variety of routine assignments as appropriate to the position; may operate a personal computer to draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; types and mails form letters.
· Establishes, maintains, processes, and/or updates files, records, and/or other documents.
· Performs miscellaneous job-related duties as assigned.
SKILLS/QUALIFICATIONS
· Previous experience with Contract Administration desired but not required
· Keen attention to detail coupled with strong organizational and administrative skills.
· A high level of confidentiality.
· Excellent interpersonal and customer facing skills.
· Must possess proficient document organizational skills.
· Strong communication skills, both written and verbal.
· The flexibility and willingness to learn.
· Advanced computer skills including Microsoft Office Suite.
· Records maintenance skills.
· Ability to understand and follow specific instructions and procedures.
· Ability to prepare and print routine correspondence, labels, and/or other basic written material.
· Word processing and/or data entry skills.
· Skill in the use of operating basic office equipment.
