Community Association Portfolio Manager

Experienced Manager Full-Time Position

Surfside Realty Company HOA Department is looking for an individual with knowledge of HOA management and the ability to read governing documents.

General Description of Position

The Community Manager has the responsibility of managing the day-to-day operations of a portfolio of associations (both single family and multi-unit buildings). Delivering management and customer service through in-depth knowledge of Governing Documents, and State and

Local laws. Maintaining the highest degree of professionalism, integrity, and loyalty in aspects when interfacing with the board members, homeowners, and vendors, both verbally and in written materials created, as well as demonstrating a high standard of ethics.

Responsibilities and Duties

  • All aspects of HOA management.
  • Provide specific assistance to the Board in fiscal management, budget preparation, administration, policies and procedures, property infrastructure, maintenance, and mechanical procedures.
  • Become familiar with Governing Documents, i.e., Master Deed or Declaration, Articles of Incorporation, Bylaws as well as communal areas, easements, and association’s area of responsibility.
  • Work with accounting and auditor for tax preparations.
  • Maintain open communications with the Board of Directors and homeowners and respond appropriately to inquiries.
  • Interact to resolve issues as reported by Board Members and homeowners.
  • Manage work orders to assure work orders are correctly routed.
  • Conduct regular property inspections, complete reports, and conduct all appropriate actions to ensure quality levels of maintenance and appearance standards.
  • Track and follow through on all issues of non-compliance and architectural requests.
  • Guide, and assist the respective board of directors to make sound, prudent, and lawful business decisions.
  • Assist Board with the selection of vendors and insurance providers.
  • Coordinate with vendors for routine maintenance and special projects.
  • Facilitate Annual Meetings and Board Meetings following Roberts Rules of Order.
  • Prepare a management report for each Board Meeting.
  • Keep a record of action items for all regular, special, and annual meetings.
  • Review minutes and report on action items.
  • Code and approve accounts payable invoices.
  • Review all association financial statements monthly and be familiar with collection policies.
  • Prepare an explanation of monthly/quarterly financial statements; provide to the Board for review.
  • Interact with all associations' contractors on behalf of the board.
  • Attend management company staff meetings.
  • Ensure the continuation of all contracted services and insurance.
  • Ensure compliance with all applicable civil codes and corporation codes.
  • Provide professional written communications as needed.

Required Qualifications

  • Experience in professional HOA management.
  • Knowledge of financials, budgets, and the budgeting process.
  • Ability to prioritize tasks and manage a fast-paced team environment.
  • Strong knowledge of audits, reserve studies, bidding process, and understanding association governing documents.
  • Strong MS Office Suite (Word, Excel, Outlook) skills.
  • Commitment to following up on all issues in a timely manner.
  • Knowledge of proper meeting order.
  • Familiar with architectural requests process
  • Strong written and verbal communication skills.
  • Must be very responsive, able to manage strong personalities, and run organized and efficient meetings.
  • Must have strong customer service skills and a pleasant and professional demeanor.
  • Currently working to obtain CAI Certification(s) preferred
  • Professional grammar, spelling, and letter composition skills.
  • Dependable, punctual, and an initiative-taker with good organizational skills.
  • Ability to prioritize and work without direct supervision.
  • Ability to multi-task.
  • Strong customer service mentality.
  • Excellent time management skills.
  • Ability to work with a variety of personalities such as homeowners, board members, vendors, etc.
  • Work closely with Assistant Manager.

Education and Experience

  • Minimum of 3-5 years Community Association Management experience
  • Associates’ Degree preferred and/or equal related experience.
  • Computer Competency required Microsoft Office (Excel, Word, Outlook).
  • Excellent communication skills, both written and verbal.
  • Clean driving record required.
