Job description

THE FOCUS IS YOU:

We are looking to add a CAAS Associate to our team to support a Tax Managing Director to perform routine clerical and administrative functions.

WHAT YOU WILL DO

Regular duties include (but are not limited to):

  • Maintaining calendar, knowing what’s next at all times. Review calendar first thing in the morning, review tomorrow’s appointments with partner before leaving for the day. Review upcoming week with partner at least once a week, sometimes more than a week out, depending on if there are big projects or presentations coming up.
  • Try to be as proactive as possible with preparing partner for what’s to come in the next few days - let staff know that partner is meeting with client ABC Company on X/XX/202X - is there anything that partner should know? Status of any work that is in process?
  • All time and expense entry.
  • All business-related travel. Coordinate some group trips.
  • Monitor partner emails - respond to anything that you’re capable of answering, so partner doesn’t have to. If you can’t answer an email, but know that a certain staff member can, forward that email to the person that can help the client.
  • Daily “To-Do’s” - consists of phone message list, short term projects, long term projects and prospects table, which is a simple table that keeps track of current prospects (includes prospect name, referral source, which staff the prospect has been assigned to, and status).
  • Communication - After every meeting, check in with partner about to-do’s/follow up items. Keep track of those follow ups/to-do’s until they have been executed. During drive time, make calls with partner. Conference partner with call recipient, listen for any follow up items/to-do’s that partner promised, etc.
  • For client meetings where partner doesn’t have any other staff attending, serve as “back up”, by sitting in the meeting quietly and taking notes/meeting minutes. This may be required for internal administrative meetings that the partner has, documenting action items and following up through execution.
  • Monitor CPE and licensing. Renew MI license, PTIN, etc. Schedule additional CPE as necessary.
