Faulkner Community Physicians (FCP) is an offsite department of Brigham and Women's Physician Organization. FCP has two locations (West Roxbury and Hyde Park). This position supports two locations and the candidate is required to float between West Roxbury and Hyde Park locations as needs, oftentimes urgent, present.
Actual job duties may vary by department

  • Perform duties under moderate supervision with intermediate to advanced proficiency
in administrative skills.

  • Perform secretarial duties to support provider/team in team based care environment.

  • Act as a super user for scheduling, registration, and billing systems. Provide training and assistance to others in these areas.

¨ May perform more complex or specialized functions (i.e., specialty scheduling) at highest competency level.

¨ Utilize knowledge of HMO’s, managed care and other third party insurers, and troubleshoots insurance issues as appropriate.

_ Work with team members to promote Population Health endeavor and promote wellness.
¨ Assist with training and orienting staff as needed.

¨ Provide cross coverage as needed.

¨ Assist with special projects as directed.
¨ Follow HIPPA guidelines for the management of patient privacy and confidentiality.

¨ Other duties, as assigned.

(ADDENDUM B):

1. Processes patient arriving for appointment. Verifies appointments, reviews
both registration and fiscal data base information, updates on-line information as
appropriate; verifies insurance member cards in Epic or Nehen and issues correct
encounter/billing form specific to patient’s appointment. Updates the change of
address inaccurate information can result in the inability to reach patients in cases of emergency and/or loss of revenue.

2. Performs cashiers function, seeking, receiving and issuing receipt for payments, co-pays and credit card from clients. Reviews patient financial status and refers appropriate patients to Ambulatory Financial Representatives for assistance in application to hospital free care entitlement programs as well as management of outstanding balances.

3. Reviews, adjusts and seeks clinician’s assistance to resolve problems on all encounter forms for billing purposes prior to entry in computer terminal.

4. Answers phone in a courteous timely manner, screens all calls for emergencies and makes appointments as needed making sure clients’ needs are met.

5. Schedules primary care and specialty appointments for clients in computer. Follows established procedures and adheres to guidelines for appropriate bookings. Checks computer databases to verify date of last physical.

6. Records clear, concise, accurate messages and prescription refills and ensures their timely delivery to staff. Using clinical messaging system in Epic.

7 Distributes mail, faxes and other assigned clerical tasks.

8. Performs other tasks that help coordinate all systems, which impact patient access and flow (reminder calls, cancellations, no shows) as required. Schedules appointments with ancillary departments.

9. All other duties as assigned (such as but not limited to medical records, referring to
Patient Family Relations, Interpreter Services).



Level of education required:
¨ Minimum of a high school diploma or GED.

Work experience required:
¨ Minimum one year applicable work experience required.

Some additional training in office systems or other post high school edu
Technical skills required:
¨ Verbal and written communication skills required
¨ Knowledge of practice operations and standards.
¨ Understanding of procedures including filing, copying, scanning, printing, and faxing.
¨ Phone skills: Ability to use phone system (answer and screen calls, put on hold), handle more complex calls and give more detailed information.
¨ Verbal skills: Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise
manner.
¨ Organization Skills: Ability to manage work processes in a neat and orderly way and to sort and alphabetize. Ability to manage multiple tasks effectively, follow established protocols, and work within systems.
