Scope of the Position:
This position works closely with the Director of Collections Management, Head Preparator, Curators, Conservators, and Exhibition Managers, coordinating all aspects of permanent collection rotations and installations. The primary function of this position is to track and care for the objects in the DMA’s permanent collection and to oversee collection storage. Job responsibilities are subject to change at any time within the registration department due to departmental priorities and/or for cross-training purposes. The Associate Registrar for Collections is also the direct Supervisor for the Collections Assistant and in collaboration with the rest of the registrar team and Director of Collections Management assigns tasks and projects to the Collections Assistant in support of departmental priorities.
Duties and Responsibilities:

  • Manages all aspects of the permanent collection, including documentation and data entry in The Museum System (TMS) and in physical object collection files, relocation of objects for storage or exhibition, evaluation of documentation and cataloging standards, and full collection inventories.
  • Organizes and manages logistics for permanent collection installations and produces documentation of installations for archives.
  • Direct Supervisor for Collections Assistant; assigns daily tasks, long term projects, and performs timekeeping, scheduling, reviews, and other associated administrative tasks.
  • Collaborates with the Head Preparator in the management of preparator schedule and calendar for all collection-based installations and Collections Work Requests.
  • Performs condition reports for permanent collection objects and coordinates onsite or offsite conservation treatment.
  • Records and files incident reports for objects in the permanent collection, coordinating proposed treatment plans with conservators, curators, and preparators, as well as filing all applicable documentation.
  • Oversees all aspects of physical locations of museum objects; implements and documents all changes.
  • Responsible for the daily physical and digital management of all onsite and offsite storage spaces.
  • Collaborates with the Director of Collections Management regarding storage upkeep, both in-house and off-site, and anticipates future storage needs.
  • Collaborates on discussions of time-based media acquisitions and loans and manages all details relating to artist installation specifications, equipment, and cataloging.
  • Coordinates with the appropriate personnel within Collections, Exhibitions, Curatorial, Conservation, Education, Operations, Special Events, and Security departments to coordinate permanent collection related logistics.
  • Collaborates with the Director of Collections Management and the Collections Information Manager to implement greater TMS usage across modules and assist in report development.
  • Leads and/or collaborates on special projects as assigned.
  • Oversees archiving practices for the department files.
  • Follows collection guidelines as outlined in the Museum’s Acquisitions and Deaccessions Policies and Procedure.
  • Adheres to Museum policies, supporting management decisions in a positive, professional manner.
  • Conforms to the Code of Ethics of the American Alliance of Museums and the Registrar’s Committee of the AAM.
  • Acts as a courier for DMA collections and exhibitions as assigned.
  • Collaborates and contributes positive support to the Collections and Exhibitions team.
  • Communicates with other Museum departments, curators, donors, vendors, other museum professionals, as well as the public in a professional manner.
  • Maintains confidentiality within or outside the Museum.
  • Performs other duties and special services as assigned by the Director of Collections Management.

Requirements: Education, Experience, and Certification:

  • Bachelor’s degree in Art History, Museum Studies, or equivalent experience.
  • 5 years’ experience/and or acceptable training working in an art museum registrar’s department.

Key Qualifications:

  • Knowledge of a second language is desirable.
  • Excellent written and oral communication skills.
  • Accurate typing/keyboard skills; excellent word processing/computer skills.
  • Knowledge of computerized collections management systems, TMS experience preferred.
  • Excellent computer skills, including Microsoft Office applications.
  • Knowledge of museum standards and practices of registration, art handling, conservation, and collections storage requirements and procedures.
  • Ability to assess priorities and work well under pressure; excellent time management, problem solving and analytical skills.
  • Highly self-directed with strong attention to detail.
  • Ability to manage multiple tasks and requests simultaneously and budget time effectively.
  • Ability to visually inspect artwork, sit or stand for long periods of time, ability to lift and carry 50 lbs., and to travel nationally and internationally.
