POSITION OBJECTIVE

With limited supervision, the Assistant Director for Engagement advises the Class Officer Collective (COC) and manages various departmental operations. As the principal project manager and advisor of several large all-community traditions at Case Western Reserve University, the assistant director manages the Division of Student Affairs University Spirit Committee, University Homecoming (in partnership with the Alumni Association) as well as coordinates/supervises most signature programs of the department (i.e., World Kindness Day, the Spring Student Activities Fair and Food for the Soul). This position will also direct the marketing of Student Activities and Leadership and supervise a student social media intern for the department. Serve as the project manager for the Stephanie Tubbs-Jones annual Homecoming 5K race and the annual Legacy Week celebration. This individual directly supervises two graduate student interns.

ESSENTIAL FUNCTIONS

  • Advise the Class Officer Collective. The Class Officer Collective is composed of five elected representatives of each class: President, Vice President, Secretary, Treasurer, and Marketing and Public Relations Officer. Offer direction to this group of students to create class-specific programming and implement campus traditions (Hudson Relays, Snowball Dance, and Orientation Week). Oversee the completion of university requisitions, disbursements, internal charges and deposits for COC for and approval by the director. Serve as the primary processor of all contracts and technical riders initiated through COC. Guide the students on budget, purchasing, reviewing contracts, risk management, marketing, and assessment. This individual will attend all programs. COC’s allocated budget is approximately $95,000. Recruit, hire, and train one graduate student intern to assist in advising COC and other engagement responsibilities. (20%)
  • Direct the marketing for departmental initiatives. This includes managing a robust social media presence. Serve as the expert within the Student Activities and Leadership team in developing marketing plans to assure all university marketing policies are followed and plans are aligned with the division. Oversee the writing and editing of departmental website including content, generating story pieces, and updating as necessary; coordinate and oversee the design and production of publications, marketing and advertising materials (i.e., print, web, social media, email); provide direction and technical assistance to all department staff to ensure consistency in materials/graphic design, branding, and writing quality standards. Supervise a minimum of one student intern directly responsible for all social media for the department. Recruit, hire, and train one graduate student intern to assist in all marketing endeavors. (15%)
  • Responsible for facilitating Student Activities and Leadership traditional and annual programs including, but not limited to, Black History Month, Student Activities and Leadership SWAG Stop, Sippin/ with Spartie, Open Houses for student organizations, and World Kindness Day. This includes all fiscal responsibility for all events. Responsible for supervising the Student Activities and Leadership graduate interns in the development of the Spring Student Activities Fair. Create any additional programs that meet student interests and supports the departmental mission. (15%)
  • Organize and lead the University Spirit Committee (under the direction of the Vice President of Student Affairs), whose mission is to enhance Case Western Reserve University spirit and pride and ensure the entire campus community - students, faculty, staff, alumni – are encouraged to be part of the greater Spartan community. Initiate programs to enhance campus pride and engagement including the Homecoming Parade, BlueCWRU Fridays, and Legacy Week. (10%)
  • Serve as advisor to the Thwing Study Over Committee. Work with the committee (10 to 15 undergraduate students) weekly to develop program goals, training for specific task management, contract execution, budget management, risk management, “day of” event operations as well as post-program assessment. The Thwing Study Over occurs once a semester, reaching between 1,000 to1,500 students each semester. (10%)
  • Serve as the chair and direct manager of the university Homecoming Committee on student programming. This includes but is not limited to bi-monthly student committee meetings, partnering with the University Office of Alumni Affairs, and the student executive council. Serve as a co-chair for the university-wide Homecoming planning committee. Project management includes the Blue Block Party, the Stephanie Tubbs Jones 5K Fundraiser, Parade, Tailgate, Royalty selection, etc. (8%)
  • Oversee the use of CampusGroups as a primary way to communicate and understand the needs of the students. As the departmental “super-user” of the platform, promote and support departmental and student organization use of CampusGroups for all event management needs such as member list management, email communication, online form and survey creation, and more. Liaison with the Case Western Reserve University CampusGroups support staff in Student Affairs Operations to report and resolve platform issues, consult on best practices, and stay ahead of new and improved functionality within the system. (8%)


NONESSENTIAL FUNCTIONS

  • Serve as the Manager of the Stephanie Tubbs-Jones 5K fundraiser. This annual event is offered during Homecoming Weekend. Responsible for managing all logistical details for this event which raises money for awards for underrepresented minority students at Case Western Reserve University. Work directly with Case Western Reserve University Athletics and University Protective Services in managing all programming elements to ensure an outstanding event for the runners. Average attendance for this 5k is 120-150 participants. (4%)
  • Serve as the coordinator/adviser for the Legacy Week Planning Committee (a weeklong series of events celebrating the history of Case Western Reserve University). (4%)
  • Develop collaborative working relationships with various university departments and governing student groups, including but not limited to the Office of Housing, Undergraduate Student Government, Graduate Student Council, Tinkham Veale University Center, Thwing Student Center, Plant (custodial and maintenance), and academic departments in providing program consultation for university-wide programs, risk management and Campus Groups assistance. (4%)
  • Perform other duties as assigned. (2%)


CONTACTS

Department: Continuous contact with full-time professional staff to ensure the marketing needs of the department are being met. Continuous contact with graduate and undergraduate student staff as their supervisor to ensure job responsibilities are being met and high standards of customer service are maintained.

University: Regular contact with Tinkham Veale University Center staff (shared space within the building) and Director of Compliance, Office of General Counsel (Risk Management program) to exchange information.

External: Continuous contact with contractors (i.e., university food service, agents) and other partners through advising of the various student organizations and various traditions (via the COC, Legacy Week and Thwing Study Over).

Students: Continuous contact with all student organizations at Case Western Reserve University to ensure proper risk management procedures are being followed; Frequent contact for marketing, assessment projects, and campus groups; Occasional contact for Thwing Study Over.


SUPERVISORY RESPONSIBILITY

Direct supervision of two graduate student assistants for marketing, assessment and social media and one for campus engagement, advising assistance for the COC and other traditional programs and one undergraduate intern for graphic design.


QUALIFICATIONS

Experience/Education: Master’s degree in Higher Education, College Student Personnel, Leadership, Executive Management, or Organizational Behavior and 1 year of demonstrated experience in student activities, advising, assessment and webpage and social media platforms or Bachelor’s degree and 3 years of related experience is required. Experience with programming, working with college-age students and risk management is a plus.

  • Ability to facilitate training events.
  • Must be able to handle multiple tasks.
  • Experience in Microsoft Office Suite applications is required; experience with PeopleSoft, Event Management System (EMS), CampusGroups, data collection and analysis a plus.
  • Excellent customer service, communication, presentation, organization, time management, multitasking and listening skills
  • Ability to work on–call, evenings and weekends occasionally.
  • Excellent administrative, management and leadership skills to run a combination of facilities management, and events staff.
  • Ability to meet consistent attendance.
  • Ability to effectively interact with colleagues, supervisors and customers face to face.


WORKING CONDITIONS

High concentrations of student traffic and working with students' needs and interests. The employee will perform repetitive motion using computer mouse and keyboard to type and will need to be able to climb stairs, push/pull/lift 25 lbs.
