SUMMARY: Understands systems and processes in order to efficiently process and match accounts payable documents in the various workflows. Identifies discrepancies by performing thorough analysis and follows through with proper procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Maintain solid working relationships internally and outside of the department.
  • Main point of contact with new and existing vendors.
  • Monitors invoices in workflow queues, ensuring accuracy and timely processing.
  • Assist AP Specialists 1 and 2 with more difficult research/resolve discrepancies.
  • Review and complete JIRA tickets as needed for debit memos/vendor maintenance.
  • Review all freight discrepancies/charges/receipts.
  • Works high dollar invoices.
  • Document process improvement ideas.
  • Validate and review the check run reporting for accuracy.
  • Process payment runs.
  • Review and posting of AP batches as necessary.
  • Proper GL coding of invoices as required.
  • Update tracking spreadsheets as needed to identify any duplicate billings or unusual charges.
  • Works Metaviewer audits and Metabatches to ensure accuracy before posting.
  • Investigates and resolves problems associated with processing of invoices, credit memos and purchase orders, as necessary.
  • Review reports for invoices, missing receivers, missing invoices, etc.
  • Assists in projects as needed.
EDUCATION and/or EXPERIENCE
High school diploma and 2-3 years related accounts payable experience and/or training or equivalent combination.
