Primary Role:

Serves as a liaison with external insurance licensing organizations and has a comprehensive understanding of licensing and/or registration procedures. Initiates and controls the agency and agents’ licensing and appointment process for colleagues requiring licenses. Monitors and maintains the licensing database to ensure accuracy and completeness. Works with external parties to ensure that colleagues have the appropriate credentials and comply with any continuing education requirements. In addition to licensing duties, this role is responsible for maintaining the Cadence Insurance Continuing Education programas well as assisting in Cadence Insurance internal education programs.


Primary Responsibilities:

  • Successfully drives agents’ licensing, appointment, and certification process
  • Maintains the Continuing Education program, including reviewing continuing education requests, completing course registrations, and reviewing monthly invoices
  • Assists in the development of internal educational programs including our Cadence University series
  • Determines states where license(s) is needed, types of licenses necessary, applications, documents and other requirements needed for producer or adjuster to qualify for licensing
  • Obtains proper approvals of all new and renewal licenses
  • Reviews applications and supporting documents for completeness and accuracy and returns incomplete applications or requests missing supporting documentation
  • Monitors expiration of licenses, compliance due dates, and other regulatory requirements of agents and agencies, and also manages reminder communications to keep credentials current
  • Responds to escalations or requests for additional information from carriers or Departments of Insurance.
  • Completes appropriate forms, processes fees, and notifies the proper departments of producer cancellation in a timely manner.
  • Keeps apprised of and ensures agency compliance with any licensing/appointment requirements and legislation as required by insurance state and federal regulations.
  • Effectively communicates with Management-Agent Status and/or Processing delays.
  • Works with carrier contacts to improve efficiency in agent onboarding and appointments when possible
  • Maintains agency and licensees’ records in the PCRM database ensuring a complete record of all agency licenses and licensees-adding, deleting, updating and auditing information as needed.
  • Keeps online copies of all licenses for use as needed
  • Periodically audits the PCRM database to confirm the validity of the data, and correct or re-classify any mistakes
  • Assists in the creation & maintenance of instructional handouts and other training materials
  • Assists with updating Licensing policies and procedures
  • Assists in the preparation of corporate events, as well as attends and participates as needed
  • Other licensing and continuing education related tasks/projects as needed
  • Regular and reliable attendance


Qualifications:
Education/Designations

  • High school diploma or equivalent preferred
  • College degree preferred


Skill Requirements

  • Experience and proficiency using Microsoft Word and Excel and/or G Suite products including Gmail, Docs word processing, Sheets, and Drive cloud storage
  • Excellent verbal and written communication skills
  • Ability to work with numbers including basic calculations
  • Organizational and time management skills
  • Ability to work in a team environment
  • Projects professional appearance and manner
  • Self-starter with the ability to be flexible
  • High attention to detail


Work Experience

  • Typically has up to 3-5+ years of administrative support experience including data entry, electronic filing, customer service, including responding to inquiries


Physical Requirements

  • Must be able to communicate effectively with clients, producers, carriers and staff
  • Ability to stand or sit at a workstation during a standard workday
  • Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine and printer
  • Ability to move about the office to access office machinery and supplies

  • Ability to work and meet challenging deadlines and expectations
  • Job entails meticulous attention to detail
  • Must perform well with frequent interruptions or distractions
  • Ability to quickly adjust priorities, focus and direction as circumstances dictates
