Position Summary:

Under the general supervision of the Business Manager, the individual provides administrative support to the entire Division of Anesthesia and is responsible for ensuring a functional and an efficient office.

Key Responsibilities include:

  • Answers telephones, screens and routes callers and visitors, takes messages and provides routine information to callers. Responds to routine requests for information. Refers more complex requests to appropriate staff member.
  • Composes letters and memoranda from dictation and verbal direction or from knowledge of City of Hope policy or procedures. Takes and transcribes dictation, sometimes of a confidential nature. Formats, types and edits a variety of complex or technical material, including correspondence, memos and reports.
  • Arranges appointments and meetings; coordinates meeting and agenda materials, may take and prepare minutes for department staff meetings.
  • Coordinate travel arrangements through travel service or direct contact with airlines, hotels, etc.
  • Maintains the Division Calendar – including scheduling physician vacations, meetings, outpatient sedations, and anesthesia rotations.
  • Establishes and maintains Division files.
  • Processes invoices and initiates check requests.
  • Inventories and orders office supplies as necessary.
  • Prepares, coordinates, verifies, and updates recurring and routine internal reports (i.e. physician timesheets, physician monthly on-call schedule, and professional liability worksheet).
  • Daily Capture of Anesthesia Billing Slips.
  • Assists in the preparation and submission of abstracts and publications (literature searches, facilitate the IRB/CPRMC process, and the production of power point slide presentation)
  • Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guideline. Practices a high level of integrity and honesty in maintaining confidentiality.

Qualifications

Basic education, experience and skills required for consideration:

  • High school diploma or equivalent
  • Three years responsible secretarial or clerical experience in a professional environment
  • Word processing
  • Computer experience necessary, background in Microsoft preferred

  • As a condition of employment, City of Hope requires staff to comply with all state and federal vaccination mandates.
  • This position is represented by a collective bargaining agreement.

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
