Administrative Specialist
School of Education & Human Services
The Administrative Specialist will provide administrative support for the undergraduate and graduate programs in the School of Education & Human Services, specifically supporting department chairs, program directors, the Associate Deans, and the Dean. This is a full-time position, reporting to the Dean of the School of Education & Human Services. The schedule is Monday through Friday, 8:30 am to 5:00 pm.
Responsibilities:

  • Perform data entry as required for various tasks in the College’s Banner System.
  • Organize the process for registration, and register all student teachers each semester.
  • Create tuition vouchers for all courses with field experience in the childhood, early childhood, special education, adolescence education, graduate literacy, physical education and TESOL program. Coordinate the dissemination of these waivers each semester
  • Reserve rooms and order food for meetings, seminars, and professional development events
  • Record and process payments and reimbursements for mileage and miscellaneous expenses for supervisors.
  • Manage finance actions, including direct pay requests and CentreSuite for Office of Educational Partnerships VISA transactions.
  • Organize partnership meetings, provide support materials, record minutes, and provide any follow-up necessary to outcome of meetings.
  • Primary SEHS administrative support for the Teacher Education and Leadership Department.
  • Provide skilled administrative support to the undergraduate/graduate programs, department chairs, program directors, and the associate dean in the School of Education & Human Services.
  • Perform general office duties: field incoming calls, mail, email communications, filing, etc.
  • Monitor School of Education & Human Services email accounts and direct student inquiries to the appropriate person for resolution.
  • Attend meetings and events as required.
  • Rotate among various departmental offices across campus.
  • Perform other duties as assigned.

Qualifications:

  • Professional demeanor and ability to work effectively with various constituencies including: prospective students, current students, their families, general public, faculty, administrators.
  • Computer proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Google Drive, Canisius College BANNER system, iAdvise, Desire2Learn, Qualtrics, Courseleaf, webpage editing software, social media, and other emerging systems and applications.
  • Ability to support multiple departments in multiple locations, including remote support.
  • Strong organizational, interpersonal, and communication skills.
  • Computer proficiency with Microsoft Word, Excel, Zoom, and the ability to learn additional programs.

  • Excellent calendar management skills.
  • Knowledge of Banner.
  • Ability to manage multiple projects with strong attention to detail.
  • Minimum 2 years demonstrated administrative support experience.

Compensation and Benefits:
This is a full-time, 12-month hourly position. Benefits are available the first of the month after the full-time employee’s date of hire and include – health, dental and vision insurance, life and long term disability insurance, and retirement plan enrollment is available to full-time employees with contribution from College after one year. Paid holiday, vacation, personal leave and sick leave. Tuition benefits are also available for full-time employees and their qualified dependents.
