OVERVIEW:

As the Administrative Specialist for RS Technologies, you are central to the activities that support the Leadership Team. As a result, you are always willing to go the extra mile, working closely with the Executive Administrator and the rest of the team to manage information flow and smoothly execute various daily tasks and broader goals.

RESPONSIBILITIES:

  • Provide expert administrative management support to the Leadership Team; independently compose and prepare correspondence and email communications; arranging complex and detailed travel plans, itineraries, and agendas; provide documents and resources for travel-related meetings; process and report on expenses.

  • Manage the calendar of the Leadership Team with internal and external stakeholders; provide adequate timelines and preparation for immediate and recurring meetings and events; provide meeting agendas and connection/access details; and arrange for cross-team participation as required.

  • Execute and manage various special projects; create individual project plans, set timeline expectations, regularly communicate status, and ensure that projects are completed and driven for success.

  • Complete a wide variety of administrative tasks that facilitate the Leadership Teams ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

  • Serve as the primary point of contact for internal and external constituencies on all matters about the Leadership Team, including those of a highly confidential or critical nature. Prioritize and determine the appropriate action, referral, or response, exercising judgment to reflect style and organization policy.

  • Other general support and administration duties as required.

QUALIFICATIONS:

  • BS Degree with three years experience or AS degree with 5+ years experience Ability to manage competing priorities up and across. You should be able to communicate effectively across the organization, including with managers and peers.

  • Detail-oriented. You care deeply about getting results in your realm. As a result, you are both protective of your work and relentless in delivering. You pay attention to small details, anticipate challenges, offer creative solutions, and course-correct when needed.

  • Clear and precise verbal presentation skills. Clear and accurate writing skills. You should be able to communicate clearly and concisely in written correspondence, including on behalf of principals.

  • Resourceful. You should be able to search for information on your own, propose meaningful solutions, and know which questions are appropriate.

  • Proficiency in MS Office Suite and Concur Travel Solution

  • Hybrid: remote/work from home as well as the corporate office when needed
  • Possible travel required; every few months
