Administrative Assistant Lead

Summary: Greater Chattanooga Orthodontics is seeking an action-oriented, inspiring candidate who will help the Office Manager get things done and strive for excellence.

Reports to: Office Manager

Education & Experience

  • Previous experience in business administration HR, management, customer service required
  • AS/BS in Business Administration is preferred
  • C-level experience preferred

Tasks, Duties, and Responsibilities:

  • Right hand to the Office Manager including all office operations, HR, etc.
  • Assist in all office operations; ensuring a smooth workflow, department efficiency, and patient satisfaction
  • Anticipate needs, be organized, follow up and stay on top of tasks, deadlines and priorities.
  • Proactively manage leadership's calendars, group calendar, and Dolphin calendar and keep in sync. Look for and resolve conflicts. Anticipate and take action to keep meetings and events running smoothly, efficiently and make the most of our time. Plan non-clinic days.
  • Meeting Management: prepare and coordinate meetings for all departments, take meeting minutes and ensure all meetings are well-prepared, action items are documented and get completed
  • Ensure all employees complete their checklists and ensure all checklists, processes and procedures, and scripts are updated as needed.
  • Event Planning: Help organize office events, continuing education, staff training, meetings, and meals.
  • Social Media Management: Ensure our social media is current and up to date and produce creative content
  • Assist with on and off boarding of employees
  • Errands: go to stores, bank deposits, PO box, etc.
  • Order office and dental supplies and maintain inventory.
  • Assist with all daily office operations to ensure smooth workflow, department efficiency, and patient satisfaction.
  • Willing to do anything that our small business needs on a daily basis/ perform other duties as assigned including blowing the sidewalks, rugs, picking up trash, cleaning the restrooms, etc.
  • Be willing to be cross trained in most positions such as Front Desk
  • Assist Billing Department with Accounts Receivable/ collections
  • Maintain documentation of current processes and procedures
  • Proactively seek improvements by proposing new processes and procedures, proposing new/revised paperwork, making recommendations and implementing them, etc.
  • Proactively help GCO move from “good” to “great” in terms of our customer service, business operations, and our reputation

Skills and Abilities:

  • Proficient at using Google Drive, Docs & Sheets
  • Positive can-do attitude and willingness to proactively take our company from “good” to “great”
  • Attention to detail and follow-up are a must
  • Great at multitasking, prioritizing responsibilities, and time management
  • Effective verbal skills to communicate with doctors, referring dentists, parents, and patients
  • Great interpersonal skills to interact with employees and to maintain a smooth-running team environment throughout the office
  • Ability to demonstrate problem-solving skills including the following: conflict resolution, problem identification, problem resolution, decision-making, etc.
  • Excellent verbal and written communication in an efficient and effective manner
  • Possess the ability to make decisions independently
  • Anticipates the changing business and management needs

Job Type: Full-time

Pay: $21.00 - $23.00 per hour
