We’re looking for an amazing Administrative Assistant to fill this role. You’ll be responsible for This role is a key part of a very fast-paced team that manages and develops the Onboard experience for our cruise guests, as well as liaising with other Shoreside departments. This position is responsible for a wide range of workflows including management of fast-changing executive calendars, tracking department meetings, and leading the coordination of global travel for department executives. Other responsibilities include preparing PowerPoint presentations, taking minutes, collating reports, and supporting department-wide initiatives. This person will be a key point of contact for broader department functions and must be a self-starter in learning the operation and reaching out to stakeholders to advance initiatives. In-frequent international travel may be required.

Responsibilities

  • Manages Outlook Calendar on behalf of SVP; owns department-wide meetings, ship meetings, coordinates and ensures availability with all stakeholders.
  • Books global travel itineraries for department leadership; large conferences, ship visits, corporate partners etc.
  • Acts as support and liaison with IT services; opens tickets, manages distribution lists, company phone lines, issues hardware etc
  • Provides administrative support and assists GEPD with business functions as needed.
  • Onboarding and offboarding of shoreside and fleet manager personnel
  • Processes financial documents, vendor invoices and Company Card purchases through appropriate systems. Acts as SME for department support
  • Processes and tracks cabin reservations for the department and external vendors.
  • Maintains and owns GEPD shoreside department resources, files, and calendars. Ideates improvements to electronic organization systems

Requirements

  • Must have High School Diploma, Bachelor’s degree or equivalent relevant experience preferred in Business Administration, Hospitality, Project Management, or Communications
  • Must possess valid Passport
  • Minimum 2 years in an Executive/Administrative support role for VP+ level
  • Minimum 5 years’ experience in a professional or corporate environment. Remote administrative experience is a plus
  • Highly skilled in Microsoft Office Suite, Outlook and PowerPoint.
  • Knowledgeable in Office365 collaboration platforms (SharePoint, Teams, OneDrive)
  • Must have exemplary organization and communication skills, as well as tact and excellent people skills.
  • Must be a self- starter and seek to improve and advance the status quo.
  • Must enjoy teamwork and be a creative problem solver with an open attitude.
  • Required to possess high levels of integrity and discretion.
  • Embraces working with team members of diverse backgrounds and nationalities.
  • Seeks fun and embraces humor in their everyday work!
  • Prefer experience with global travel and managing time zones
  • Prefer Oracle and Deem (Travel Link) experience

  • Base Salary Range: $ 38,800.00 to $ 52,400.00 . The range is applicable for the labor market where the role is intended to be hired. Final base salary is directly related to each candidates' qualifications and experience uniquely.
