Administrative Assistant - Part-time

Reports to: Funding Supervisor
Statement of Purpose:
The purpose of the Funding Administrative Assistant is to assist Funding Paralegals to tie up all the loose ends of funding a trust. This includes but is not limited to – prepping documents for clients to sign, completing company specific forms to either change ownership or beneficiary of an account, follow up with financial institutions and clients alike to make sure progress is being made, scanning, and mailing documents.
Objectives, tasks, duties, functions & responsibilities:
- Updating client files with all new information that is obtained
- Review and close client files after loose ends have been tied up
- Completing company specific forms
- Assisting in preparing for the funding meeting in office by producing client trust binders
- Extensive administrative tasks including scanning, mailing, emailing and faxing.
Education Required: High School
Qualifications / Specific Skills required:
- At least 2 years of customer/client service experience
- Type 40 wpm with better than 96% accuracy
- Proficient in all Microsoft office programs
- Excellent communication skills both verbal and written
- Experience with the ActionStep database, FundingPro and HotDocs software is a plus
