General Expectations*

  • The function of this role is to serve as a liaison between patients and the physician’s practice.
  • Provides concierge level service to patients, families, referring physicians and to all other parties.
  • Answer all incoming calls, take messages, or transfer calls to appropriate individuals.
  • Organizes and prioritizes work to make sure projects are completed in a timely and efficient manner.
  • Trusted to handle budgets and finances.
  • Performs work with accuracy and efficiency.
  • Facilitate incoming & outgoing mail/faxes, workers compensation reports, and clinic notes/letters.
  • Follows and complies with all state and federal laws including HIPAA, ADA, OSHA, and FLSA
  • Assist staff members, when necessary, in a positive and professional manner to ensure all patients receive the highest quality care.
  • Use computers for various applications, such as database management or word processing.
  • Create, maintain, and enter information into the practice’s databases.
  • Greet visitors, or callers, and handle their inquiries or direct them to the appropriate people according to their needs.

CLINICAL/SURGICAL RESPONSIBILITIES*

  • Clinic scheduling and preparation.
  • Assure that all assigned patient forms are complete. Chart prep, per clinic protocol.
  • Assist with surgery and post-operative visit scheduling.
  • Works with the clinical staff to complete PT orders, etc. in a timely fashion.
  • Scheduling and handling of an independent medical examination email address.
  • Create, maintain, and enter information into databases.
  • Set up and manage paper, or electronic, filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Travel with the Physician to clinic locations, as required.
  • Assist with the assigned physicians research responsibilities (no research experience or knowledge is required). Schedule research visits, help with budgeting, coordinate research meetings, etc.
  • Complete forms in accordance with company procedures.

PERSONAL RESPONSIBILITIES*

  • Assist with preparation of personal agenda and academic travels for assigned Physician.
  • Direct contact, and communication with physicians, orthopedic organizations, sports agents, professional personnel, and high-level executives.
  • Proofread and edit personal documents and presentations.
  • Coordinates travel for assigned Physician.

EDUCATION AND/OR EXPERIENCE*

Bachelor's degree from a four-year accredited university/college.

  • Healthcare experience preferred.
  • Strong interpersonal, customer service and communication skills within the team and to patients
  • Proficient in Microsoft Office, emphasis on word, excel, and outlook.
  • Ability to multitask in a fast-paced environment including problem solving, decision making, strategic thinking, planning, and communication.

  • Good phone skills-clear, easy to understand, reliable with following up as needed, good conflict-resolution skills to handle possible patient situations.
