The Kansas Corporation Commission (KCC) currently has a vacancy for an unclassified Administrative Assistant. The KCC is a multi-faceted agency responsible for regulating public utilities including electric, natural gas, telecommunication and water companies as well as motor carriers, oil and gas pipelines and oil and gas natural production. The Commission’s headquarters is in Topeka with the central Conservation office in Wichita and four Conservation district offices located in Dodge City, Wichita, Chanute and Hays.

Responsibilities:

Job Responsibilities may include but are not limited to the following:
  • Responsibility to review, grant or dismiss all online applications within the KTRAN (Kansas Trucking Regulatory Assistance Network) and send appropriate messages and documents to carriers. Will process messages daily assigned by the PSA regarding these applications as well as existing authorities. Enters required insurance filings, Form E’s (liability) and Form K’s (cancellations) received by mail and through the NOR (National Online Registry) into the KTRAN system to ensure authority status remains up to date and monitors pending applications through the messaging system to ensure applications are granted or dismissed according to agency timeframes. Also makes certain that all Form H’s are scanned into the appropriate folder as these filings are no longer required to be entered into the KTRAN system, however, the scanned copy is necessary for retention and review purposes.
  • Receives incoming phone calls and exercises independent judgement in contacts with carriers and/or carriers’ attorney or agent pertaining to meeting authority and motor carrier regulations in accordance with federal and state requirements. Determines and directs calls to appropriate in house staff or correct outside agencies in the event the KCC is unable to assist them.
  • Manages the KCC/County Treasurers Safety Promotion project, coordinates with the County Treasurers and KCC Support staff taking orders for brochures and setting up training sessions with KCC Special Investigators and the County Treasurers office’s. Schedules dates, times and locations, on an annual basis, of motor carrier safety classes in Topeka, Hays, Garden City, Bonner Springs and Hutchinson. Maintains record of attendees at classes, original sign-in sheets and KCC instructors. Also compiles class schedule sheet that is distributed to carriers and is viewable on the KCC website. Works with the KCC programmers to ensure the most up-to-date information is available at all times.
  • Makes all reservations for training, hotel rooms, and car rentals for the Director, Deputy Director and Special Investigators as needed. Assist in-house customers with questions and concerns.
  • Processes Civil Penalty Fines in conjunction with the Kansas Highway Patrol. Answers calls received in-house regarding civil penalty payments and directing callers to appropriate agency such as KHP, Harris and Harris Collection Agency etc. if necessary. Balances and scans invoices to accounting division on a daily basis.


Qualifications:
Minimum Qualifications:
  • Six months of experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.
