The Admin Assistant/Scheduler will provide administrative support to the Plant Manager and members of the Leadership Team. Duties include typing, file maintenance, arranging meetings and appointments, telephone coverage, and other administrative functions. Confidentiality is a must in this position.
Duties Include:
1. Must follow Good Manufacturing Practices and good housekeeping guidelines. Must follow safety guidelines, wear designated Personal Protective Equipment, and meet OSHA Safety Requirements. Must be able to identify and understand customer requirements.
2. Facilitate plant correspondence, including but not limited to communication from Home Office Executive Assistants and Group Coordinators, as well as regulatory notifications.
3. Conduct the purchasing of office and break room supplies, food purchases, and other administrative expenses.
4. Assist with the coordination of meetings, events, and plant visits; include but not limited to Continuous Improvement (CI) meetings, and Plant Manager Breakfasts, CEO and other Home Office visits. Take and distribute notes when applicable.
5. Provide leader support, including but not limited to assembling data, typing reports, and making travel arrangements.
6. Provide phone coverage, answer telephone calls, take messages, schedule appointments, receive and send email.
7. Filing, maintenance of files, and tracking of all important documentation to the department/team.
8. Prepare and distribute outgoing and incoming mail and packages.
9. Maintain the plant Salto system, create and disable badges.
10. Assist in administering the plant recognition programs. Distribute and track recognition gift cards.
11. Perform other duties, projects, responsibilities as needed.
12. Must be willing to work overtime as needed and flexible to shift needs within the plant.
This is a part time position which will work approximately 20 hours a week. Work hours are as follows:
Monday 6am-11am
Tuesday 6am-11am
Wednesday 6am-11am
Friday 6am-11am
Occasional work on Thursdays.
Candidates must have demonstrated administrative skills and be able to pass company testing requirements.
