Are you organized, trustworthy, professional and a self-starter? A D.C. cultural nonprofit organization is seeking an individual to assist in their office, full-time, located near the Union Station metro stop. The hours are 9am-5:30pm, with some occasional overtime required after hours as they have events they would need assistance with. Please note that Covid vaccination is not required for the office. This position will support the mission of the organization and its elected national officers and committees. It will work closely with various leaders within the organization. This is a full time (40 hours/week) position that includes a comprehensive benefits package with health insurance, dental coverage, vacation/sick time, and matching retirement contribution.

Status: $20/hour while temp, salary $48K upon conversion

What You'll Do:

  • Work directly with the director to support all aspects of his/her daily work routine
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the director’s behalf
  • Organizing meetings, including scheduling, sending reminders, and preparing agendas
  • Managing the director’s calendar, including scheduling and prioritizing the most sensitive matters
  • Coordinate travel arrangements
  • Answer telephones and direct calls accordingly
  • Check and respond to all general voicemails and emails
  • Manage National Office email account daily
  • Prepare all National Office shipments and general mailings
  • Meet vendors and deliveries at the office
  • Complete donation letters
  • Maintain professionalism and strict confidentiality with all materials
  • Any miscellaneous administrative tasks and special projects as needed
  • Prepare and mail renewal notices for At-Large Memberships (ALMs) and Magazine subscribers
  • Process new, renewed, and gifted Magazine subscriptions
  • Process Gold Memberships and renewals
  • Handle inquiries related to memberships, subscriptions, and change of address
  • Update membership and lodge databases
  • Update master contact rosters
  • Assist with the Gala, annual meetings, scholarship program, direct mail program, and Magazine as needed
  • Assist the bookkeeper/program coordinator in data entry for accounts payable related tasks

Job Requirements:

  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with English language and writing/punctuation skills
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Ability to maintain confidentiality of information related to the company and its employees
  • Resourceful, can-do attitude
  • Thrives in a fast-paced environment
