Administrative Assistant (Remote)

DESCRIPTION

A small consulting company, Canavan Associates, seeks an individual to be the team’s administrative assistant. The employee will be part-time at 20 hours per week with salary commensurate with experience. The position is based in Boston, though much of the work will be remote.

Because the company is very small, the position will be flexible, based on the company’s needs. While you are not required to have experience in disaster response or the housing sector, an interest in those fields or a desire to learn about them is preferred.

Responsibilities and skills include:

  • Project management and tracking projects to make sure deadlines are met
  • Communicating with the team to follow up on tasks and maintain transparency
  • Editing, writing, and formatting documents
  • Taking notes during meetings
  • Working with the accounting team to manage bill payments and contracts
  • Preparing invoices and managing travel receipts
  • Assisting to coordinate personal and individual appointments in addition to professional appointments
  • Supporting complex schedules, both personal and professional
  • Assisting the managing director with several personal projects, such as integrating materials from an office into his home office since we’ve recently moved to remote work
  • Occasionally organizing and running the logistics for large meetings (approximately once a year)
  • Scheduling meetings
  • Booking travel
  • Checking the voicemails
  • Collaborating with and supporting other team members on special projects
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel
  • Must have the ability to work independently and prioritize workload
  • Must have excellent attention to detail and be organized - as you will be the pillar sustaining order in our team, you should be a paragon of organization yourself
